Stanford University is seeking an Accounting/Finance Associate to provide accounting and finance-related support to a department/unit, program or an accounting/finance function.

About the Department of Pathology

Comprised of extraordinary faculty and staff, our mission is to improve the ability to diagnose, treat and understand the origin and manifestation of human disease, and to care for those who have or are at risk to develop disease.  We accomplish this through our clinical services (in all fields of anatomic and clinical pathology, including molecular and genomic pathology, histocompatibility testing and transfusion medicine) and be research (which includes basic, translational and clinical research into the origins and manifestations of disease, including efforts to improve disease prediction and prevention as part of the goal of achieving precision medicine and health), and also by educating future leaders in pathology and related fields.  Everything we do is to achieve the goals of providing the highest quality of clinical services to the patients for whom we passionately care, to advance our ability to understand, diagnose, monitor and ultimately to cure disease or to prevent or delay its occurrence, and to provide outstanding education and career development opportunities to those who share these goals.

About this Position:

As an Accounting/Finance Associate in the Department of Pathology at Stanford University, you will help manage fellowship awards by following departmental, university and sponsor policies on eligibility and allowability of all expenditures. You will prepare accurate reports to the Department’s faculty and staff members in a dynamic work environment.  In addition, you will review and monitor transactions for accuracy and compliance. You will work under the supervision of a manager to maintain adherence to  deadlines and compliance procedures.  You should be highly organized, proactive, extremely detail oriented and be able to multi-task with ease in a fast-paced environment.  Regardless of your assignment, you will be expected to demonstrate strong business judgement, professional etiquette and exceptional analytical and problem-solving skills.  In addition to having a “can-do” attitude and pleasant demeanor, you must have extraordinary communication skills that allow you to interact with a diverse group of people.

Duties include:

  • Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance. Review transactions, support documents, journal postings, etc. for accuracy, consistency, authorizations and compliance. Monitor transactions in accounting systems for clearing and outstanding items. Compile, maintain, and review data and daily reports for accuracy. Generate standardized financial reports. Resolve transactional inquiries, escalate broader issues. Respond to transactional inquiries from client groups. May be responsible for p-card administration, processing, travel cards and expendable reimbursements. May establish accounts in financial systems; prepare invoices. Participate in new initiatives, as needed such as user testing. Maintain accounting/finance departmental files and desktop procedures and process documents for area of responsibility. Ensure compliance with University policies, and federal regulations and requirements.

Desired Qualifications:

  • Bachelor’s degree in Finance, Accounting or Business
  • Proficiency using Oracle, PeopleSoft and File Maker Pro

Education &Experience (Required):

High School diploma or equivalent and two years' work experience.

Knowledge, Skills and Abilities (Required):

  • Knowledge of basic accounting procedures.
  • Ability to operate computerized office applications and accounting systems.
  • Ability to clearly and effectively communicate information to internal audiences and client groups

Physical Requirements*:

  • Constantly perform desk-based computer tasks.
  • Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less.
  • Occasionally write by hand, twist, bend, stoop and squat.
  • Rarely stand, walk, reach or work above shoulders and use a telephone.
