Overview

The Faculty Assistant provides proactive, responsive, collaborative, and effective administrative and academic support to Department of Psychology faculty, researchers, students, and other staff members. Reporting to the Department Manager, this individual serves as a member of a two-person team of support staff to provide a first point of contact for Department faculty, students, staff, and visitors.

In close collaboration with other Department staff, the Faculty Assistant performs a variety of administrative functions such as direct faculty support, course support, and departmental support, while managing multiple and competing deadlines, competing priorities, and concurrent projects. In addition, this individual provides other assistance and customer service as directed by the Department Manager and/or Business Manager.

The Faculty Assistant continuously and proactively seeks to enhance the support this position provides through training and seeking information, in response to changing and growing Department and faculty business needs; e.g., Finance & Treasury and other University training, the use of online business tools such as the Google suite, the Microsoft Office suite, etc.

Responsibilities

Faculty Support

  • Preparing and sending letters of recommendation, producing exams from written documents, and preparation of confidential documents
  • Provides backup support for other Faculty Assistant with faculty expense report preparation and submission, including proactive and timely report preparation and submission
  • Assist faculty with travel arrangements
  • Work with Business Manager to assist faculty in determining proper financial and business processes needed to carry out their work
  • BlackBoard support
  • Other faculty administrative tasks as assigned by the faculty


Department Support

  • Member of a two-person team that handles all Departmental inquiries (email, phone, in-person)
  • Provides Departmental event support, which may include but is not limited to: event planning, guest travel arrangements, etc.; as directed by Office and Events Coordinator, Department Manager, and/or Business Manager
  • Provides setup and cleanup of Department daily coffee hour
  • Backup support for other Faculty Assistant, which may include but is not limited to: Departmental purchasing, preparing and distributing financial reports, maintaining Department mailboxes, etc.
  • Other duties and tasks as determined by Department Chair, Department Manager, and/or Business Manager

Qualifications

  • High School diploma or equivalent
  • 3-5 years of relevant work experience
  • Effective oral and written communication skills
  • Abilty to work accurately, efficiently, and independently
  • Excellent interpersonal skills and ability to interact with faculty, staff, students, and guests
  • Abilty to exercise discretion and manage confidential information
  • Attention to detail and accuracy is required
  • Excellent computer skills using Microsoft Office suite and Google suite
