Position Focus:

Reporting to the Director and Assistant Director of Women’s Health Research at Yale (WHRY), a highly active self-supporting interdisciplinary research center within the Yale School of Medicine. The Center has five major aims: (1) initiating, funding and supporting research, (2) building new interdisciplinary research partnerships, (3) training and mentoring students and junior faculty, (4) partnering with the community in educational outreach on women’s health research locally, regionally and nationally, and (5) ensuring a national presence for the center, including public health policy. Strategic planning entails targeted expansion of ongoing initiatives while ensuring long-range sustained fiscal growth and development of the center. This is a high-volume work setting that has deadlines and time-sensitive goals.

This position is responsible for the overall coordination of the programmatic activity within the center and for planning, management and implementation of special projects. Works closely with the Director and Assistant Director in developing and implementing short and long-term strategic plans for the sustained growth and development of the center and has direct responsibility for implementing aspects of strategic plans as these relate to the coordination of activity within the center. In this capacity, the position has direct supervision of staff responsible for grant and financial management, public relations, and administrative support. The position also oversees the staff’s accurate use and updating of the center’s active database, which stores data related to the center’s five initiatives. Actively works with multiple (20+) community leaders from multiple states across the country who are members of the Advisory Council for WHRY, the donors who compose the Society of Friends for WHRY, representatives from various scientific disciplines, policy and administrative offices, and outside funding agencies in ensuring the stability and growth of the center.

In collaboration with the Assistant Director, this position will work on planning, managing, and overseeing the center staff’s efforts in educational, fundraising, and cultivation events and programs in conjunction with the overall strategic plan. The events and programs involve the expansion of the center to broaden its reach nationally. Coordinate all necessary resources (physical, HR, financial, systems, etc.) to achieve any special projects; and investigate, identify, implement, and oversee the systems to gather, track, and report information on the special projects of the center. Help identify appropriate metrics and analyze an event/program’s success in meeting its goals. Special projects also can include training, mentoring and coaching center staff to ensure that all staff meet the goals of the center.

Essential Duties

1. Reviews and determines staffing needs, job posting requirements, salary guidelines, and labor agreement interpretations for exempt and non-exempt staff in one or more functional department of the University. 2. Manages the administrative support needs for exempt and nonexempt staff and provides recommendations, improvements, solutions and assistance as needed. 3. Manages and monitors technology needs, conducts inventory, and system requirements for the assigned departments. 4. Develops and prepares budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance reports for the departments. 5. Manages the use of facilities in one or more departments including office space, work stations, equipment, and office supplies. 6. Manages administrative support for activities of one or more departments to ensure timely completion of projects. 7. Manages and coordinates training sessions for assigned departments when new policies or practices are adopted. 8. Ensures compliance with University and federal regulations as they apply to the assigned departments. 9. Identifies, plans, and develops administrative policies for the assigned departments. 10. Assists in reviewing and implements University and departmental policies as they pertain to the administrative functions of the assigned department. 11. Assesses and makes recommendations regarding staff development and staffing levels. 12. Monitors, develops, plans, and executes systematic research on user requirements through such mechanisms as surveys, interviews, focus groups and competitive analysis. 13. Manages a staff of exempt and non-exempt employees. 14. May perform other duties as assigned.

Required Education and Experience

Bachelor’s Degree in related field and three years of related experience or an equivalent combination of education and experience.

Required Skill/Ability 1:

Demonstrated experience supervising staff on a daily basis in a fast-paced, complex environment.

Required Skill/Ability 2:

Well-developed organizational, analytical and research skills with ability to analyze and interpret complex business data, processes and reporting.

Required Skill/Ability 3:

Strong written and verbal communication and presentation skills with the ability to work with individuals at all levels of the organization.

Required Skill/Ability 4:

Well-developed problem-solving, interpersonal and negotiating skills and working knowledge of financial and budget systems and grants and contracts.

 

Required Skill/Ability 5:

Proficient in Microsoft Office suite and a familiarity with database management and query tools.

Preferred Education, Experience and Skills:

Broad and in-depth experience in academic center development, project coordination and program building. Experience in fundraising or with development strategies. Familiarity with Qualtrics, Exceed-development fundraising software, Basecamp, MailChimp, electronic media.
