ADMINISTRATIVE ASSISTANT 2Program in Science, Technology, and Society (STS), to provide comprehensive administrative support for STS headquarters and academic areas. Will assist with the department’s undergraduate and graduate programs; handle class administration, including coordination of the course schedule; monitor and follow-up on textbook submissions; oversee the grade submission process; handle the subject evaluation process; and coordinate publicity for classes. Will also assist with meeting and event coordination, website updates, record keeping in FileMaker, fellowship application coordination, and the graduate admissions process; prepare and process requisitions, invoices, and travel reports; and perform general office duties as needed. 

Job Requirements

REQUIRED:  high school diploma or its equivalent; at least three years’ administrative, office, or related experience, preferably in an academic setting; proficiency with Microsoft Office (Word, Excel, PowerPoint); experience with web publishing tools (Word Press, Dreamweaver, HTML) and graphic design programs (e.g., InDesign and/or Photoshop); discretion and tact with confidential material/information; excellent organizational, interpersonal, customer service, and oral and written communication skills; meticulous attention to detail; and good judgment.  Must be able to multitask and manage multiple priorities despite frequent interruptions; research and resolve complex problems and identify and carry out appropriate follow-up; exercise independent judgment and work as part of a team; anticipate needs; and interact effectively with a variety of people, including faculty, students, staff, and potential students. 

PREFERRED:  bachelor’s degree, experience with FileMaker Pro and MIT’s financial systems (e.g., Buy2Pay, RFPs, Concur), and professional experience using social media. Job #18970-5
