Job Profile Title Administrative Coordinator
Job Description Summary
Coordinate administrative operations requiring initiative and sound judgment for the Information Technology Services (ITS) department.
Develop and maintain systems to ensure efficient management of all IT contracts, license agreements, purchasing, and invoicing; monitor and track budget and expenditures. Coordinate web content updates; conduct follow-up on special projects in support of dept. goals and priorities. Provide administrative support for the department; coordinate and staff meetings and events, manage the Senior Director’s calendar and provide meeting preparation and materials; compose correspondence, serve as an initial point of contact for visitors to the ITS office; greet and respond to all in a friendly and professional manner. Provide first-tier technical and desktop support by phone, email, and remote assistance for all School of Nursing faculty, staff and students; escalate to second tier support as needed.
High School Diploma required, BA/BS strongly preferred, with 3-5 years progressively responsible administrative experience in roles requiring initiative and sound judgment, or an equivalent combination of education and experience. Strong organizational and interpersonal skills needed with the ability to thrive in a client-centric, technically-focused environment requiring adaptability and continual learning. Superior customer service skills essential. Solid written and oral communication skills with the ability to compose and edit written documents needed. (Writing samples required.) The successful candidate will be a systems thinker with a results orientation who is very comfortable with current technology and is able to provide the highest caliber of customer IT support to a group of increasingly “technology dependent” end users. A solid entry level technical skill set is needed with demonstrated advanced level PC skills including all facets of Microsoft Office (Word, Excel, Power Point and Outlook) and the ability to create and maintain web pages is required. Prior Penn system user experience a plus; i.e. Ben Financials, Concur. Prior experience with providing technical support to users desired. Ability to work independently as well as an effective team player. Fast keyboarding needed, at least 50 wpm. Knowledge of University policies and procedures desired.

Work Location Information
In normal conditions this position may occasionally (16-24 hrs/wk or 2-3 days/wk) work remotely. This position is considered essential for delivering the mission of the School and maybe required to work on campus in critical situations.
