The Financial Aid Advisor (FAA), under the direction of the Associate Director of Financial Aid, serves as an integral part of the Financial Aid professional team at the Law School, committed to excellent customer service. The ideal candidate will have the demonstrated ability of being an active listener and the interpersonal skills needed to effectively communicate information to internal and external audiences and all levels of management.  As the FAA, you must be confident and poised and possess the ability to interact diplomatically with a diverse constituency of students, faculty, and staff in person, by phone and via email. In addition, you will need to be able to navigate difficult matters with mature judgment and to provide compassionate, effective counsel to students.  They must be able to handle sensitive information and urgent situations requiring professionalism.  The Office of Financial Aid is a small, fast paced office that can have many interruptions at times.  The FAA will be expected to work independently with minimal supervision and as part of a team, and be willing to do whatever it takes to get the job done.  

Responsibilities:

  • Advise Law School students and applicants on financial aid policies and procedures by communicating Law School, University, and Federal policies, serving as a subject matter resource for students. 
  • Coordinate processing of application and other necessary financial aid documents for aid determination, review documents and forms for completeness, track files for follow up and distribute for review. 
  • Package and award aid to students. 
  • Assist with processing loan applications (Private, Federal and Bar loans and processing/downloading federal applications for aid. 
  • Track loans and assist Associate Director with aid disbursement in PeopleSoft and directly with Student Financial Services. Input data, update electronic databases, and associated materials. May collect, gather and validate data and prepare reports.
  • Contribute to general office administration and process improvements.
  • Process and track assistantships using Stanford’s Graduate Financial Support system.
  • Assist with the administration of our Loan Repayment Assistance Program.
  • Assist with establishing clear documentation trail for annual audit. 
  • Assist with analyzing and monitoring changes in financial aid data. 
  • Assist in the preparation of reports for Associate Dean for Admissions and Financial Aid. 

In addition to the financial aid responsibilities listed above, the FAA, under the supervision of the Director of Human Resources, will also have the following HR responsibilities: 

  • Manage the payroll process for law student employees (including initiating and processing PeopleSoft web forms and verifying I-9 employment eligibility forms). 
  • Data entry of student personal and job related information into PeopleSoft HRMS. 
  • Review all timesheets in Axess Timecards to ensure they are complete, accurate, and approved. 
  • Process supplemental payroll forms based on payroll deadlines. 
  • Resolve payroll issues related to law student employees that may arise. 
  • Run payroll audit reports on a bi-monthly basis as well as reports on student payroll data as needed.
  • Other duties as assigned. 

MINIMUM REQUIREMENTS:

Education & Experience

Associates degree and one year of relevant experience, or combination of education and relevant experience.  Bachelor’s degree and 2 years of relevant experience in a professional work environment, including student services, is preferred. 

Knowledge, Skills & Abilities

Financial aid or student services experience preferred.

  • Strong written and verbal communication skills. 
  • Proven customer service skills.  Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
  • Expert at time management and organization skills.  Be extremely attentive to detail and execute on those details with timely follow-through. Ability to differentiate between recommendations/suggestions and requirements, and adjust to often-competing priorities. 
  • Applicable computer skills, including experience with Microsoft Office Suite, extensive experience in an email-driven environment.
  • Knowledge of and familiarity with HR functions and responsibilities, preferred.
  • Professional office administration skills. 
  • Ability to learn compliance with legal, financial, and university policies and external regulations.
