The Project Manager is responsible for managing multiple projects at once, including but not limited to physical space planning, space allocation and management for staff and collection storage, planning and oversight of construction, renovation, and facilities projects, and coordination of workflow and project management for research programs and initiatives, such as the Digital First Initiative.
The position will manage large and complex projects with high performance risk, driving project(s) to completion. May manage more than one large project simultaneously. Work is typically comprised of 80% time contribution towards project leadership and 20% as a technical contributor.
- Perform the full range of project management cycle: initiating, planning, executing, monitoring and controlling, and closing. Independently lead and direct projects requiring high levels of functional integration and involving multiple disciplines to be managed.
- Direct development of an action plan, and estimate requirements for resources, including management, labor, materials, and time required to complete project.
- Facilitate discussions and negotiations to drive recommendation consensus.
- Develop and help execute comprehensive change management strategy and communication plan relative to project scope and stakeholders; orchestrate and lead change management methodologies underlying project success.
- These elements typically delineate the project management involved at this level: charter origination or scope identification and shaping, scope definition; # of disciplines /stakeholders to manage is across-university impact, and city, county constituents; risk-manage, control and report on risk associated with more complicated projects, affecting division or program as it relates to their project portfolio and risk sharing and control is skewed further to the project manager; project complexity involves synthesizing complex technical data and driving decisions; primary university relationship is at the senior associate/administrative dean, faculty and directors level cumulative budget/scope to $10M.
ADDITIONAL CORE DUTIES*:
- Coordinate multiyear project prioritization, planning, and funding, and strategic condition assessment programs. Develop strategic plans for maintenance programs, and oversee implementation; consult on space inventory and allocation for assigned area(s); research and recommend division policies and strategies; identify long-range facility project/program needs.
- Coordinate space management logistics and planning activities including: analyzing moves for minimal disruption; move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization; providing input into facilities renewal model; and capital plan implementation (as assigned).

Education & Experience:
Bachelor's degree in a related field and five years’ relevant experience or a combination of education and experience. Experience in management of projects with extensive size/complexity and moderate performance risk, including project planning, scheduling, tracking, and budgeting, or combination of education and relevant experience.
Relevant experience in a cultural heritage institution (e.g. a library, archives, or museum) or demonstrated skills acquired in an analogous industry and knowledge of issues particular to cultural heritage institutions.

Certifications and Licenses:
- Valid California Non-commercial Driver's License.
- Preference for Project Management Professional (PMP) certified completion of a Project Management Certificate program, or certification in process.
- Frequently sit, perform desk based computer tasks, grasp lightly/fine manipulation and lift/carry/push/pull objects that weigh up to 10 pounds.
- Frequently stand/walk, write by hand, twist/bend/stoop/squat and lift/carry/push/pull objects that weigh up to 20 pounds.
- Rarely use a telephone, kneel, crawl, climb ladders, reach/work above shoulder, grasp forcefully.
- Must be able to push and maneuver a fully-loaded cart weighing up to 650 pounds that requires an initial push force up to 50 pounds. Ability to lift 40 pound boxes or bundles.
- Frequently work with materials and books in places that may be dusty and moldy.
- Ability to obtain and maintain a California Non-commercial Class driver’s license and drive day or night.
