Three Year Fixed-Term Position

The Accreditation Project Manager (APM) will asssit with the University’s re-accreditation process, including gathering information and supporting the Accreditation Steering Committee. The APM is responsible for documenting goals and action plans, tracking progress, and communicating the status of projects among a broad range of project collaborators..  S/he also assists with the development of  outreach plans and communicates with faculty, staff, and students about re-acrediation projects and prcesses.   The APM will have the opportunity to work with a broad range of Stanford community members across Stanford’s seven schools. The reaccreditation process entails self-study of Stanford’s educational effectiveness; by supporting these activities the AMP contributes to Stanford’s educational mission. The APM will play a central role in high-visibility and high-criticality projects for the university.

Job Duties:

  • Support project planning and organization of Stanford’s re-accreditation. Understand criteria for review, the reaccreditation process, and the higher education regulatory context.
  • Represent the Accreditation Steering Committee and the Vice Provost of Academic Affairs with campus partners and collaborators. 
  • Develop outreach strategy that may include relationship development, communications and compliance. 
  • Manage program facilitation and projects for the Provost and Vice Provost for Academic Affairs coordinating the activities of various committees and task forces.  Provide analytical, project and related general administrative support for the Provost and the Vice Provost Academic Affairs. 
  • Lead the planning and operations for functions or programs that may have significant business, regulatory and/or technical challenges requiring subject matter expertise.
  • Plan and oversee high-level meetings and events for the Provost and VPAA.  Respond to requests on behalf of the Provost and VPAA including staffing faculty committees, search committees, ad hoc faculty evaluation committees, ad hoc faculty committees and task forces; board committee support; works extensively with faculty and administrators across the campus. 
  • Coordinate follow-up actions with other university staff, and summarizing decisions in writing; track progress of issues from initial identification to final resolution; providing analytical support to faculty committees. 
  • Review and analyze trends to advise and develop recommendations to achieve or modify the goals of the program or function.
  • Manage various proposal processes, as well as work on projects associated with the University’s accreditation efforts. 
  • Helps to design and maintain the policies, systems, and processes that ensure effective committee functions in support of key academic programs.  S/he works closely with key partners to design, coordinate and communicate policies, committee decisions and recommendations, and to document these.  S/he also develops outreach plans and communicates with faculty, staff, and students about programs and the work of the committees.  

Committee Support and Management

  • Coordinates accreditation project committees, including managing complex calendars, guests, and their documents.  Manages schedules, logistics, deadlines.
  • Documents committee business, discussion, and decisions.  Tracks action items.
  • Drafts materials, including agendas, minutes, and reports.  
  • Researches and provides supporting documentation on questions of interest to committees. In some cases this may involve hiring and supervision of graduate student research assistants or liaising with partners who provide data.
  • Composes and edits a range of correspondences; prepares documents (formatting, copying, etc.), such as for presentations and reports; writes, maintains, modifies, and ensures accuracy of content in various unit documents, displays, reports, brochures, and websites.
  • In partnership with Institutional Research & Decision Support, Registrar’s Office, and other data owners, collects and records data, such as survey responses, exam scores, records, etc.; researches and gathers data for reports; displays findings most effectively; enters and/or verifies database entries.

Process Design and Maintenance

  • Assists in the design, development, and testing of new systems (e.g. assessment reports). 
  • Partners with owners of data relevant to committee business to design regular reports and systems.
  • Works closely with the chairs of various committees to determine what systems, procedures, and data will be necessary in each case.  
  • Designs and implements procedures to ensure unit’s sensitive information is guarded by adequate controls; maintains and organizes unit’s information in electronic or hard copy filing system; maintains unit's database and records.

MINIMUM REQUIREMENTS:

Education & Experience:

  • Bachelor's degree and five years of relevant experience, or combination of education and relevant experience. 
  • 1-2 years of experience in higher education administration required; 3 - 5 preferred.     
  • Extensive experience with Microsoft Office suite of applications and familiarity with database management software (e.g. Access, Filemaker, SQL, Oracle).  
  • 1-2 years of experience with Stanford-specific applications desirable (e.g. Oracle, Peoplesoft, Axess).
  • 1-2 years of experience organizing events, meetings, seminars.

Knowledge, Skills and Abilities:

  • Familiarity with the academic operations and organization of a research university.
  • Broad knowledge of administrative procedures

  • Acts with and uses sound judgment, tact, and diplomacy.     
  • Excellent communication and interpersonal skills necessary for interaction with a wide range of people with various levels of knowledge.  
  • Ability to interpret and explain complex academic policies and procedures in person, over the telephone, and in written correspondence.
  • Ability to listen to complex discussions and distill key points and action items.
  • Flexibility and the ability to coordinate multiple complex activities, set priorities and work independently under tight deadlines and in high pressure situations while keeping in mind the importance of thoroughness.
  • Ability to carry out confidential tasks or manage situations with tact, sensitivity, and discretion.
  • Uses a high degree of professionalism and maintains a service orientation with respect to the quality of work and interaction with others.
  • Ability to produce charts and spreadsheets from data provided by other sources, and to partner with data experts on queries to produce desired information.

  • May work extended hours or weekends.
