Job Description Summary

The Office of the University Registrar is part of the Student Registration and Financial Services team. The office plays a central role in the Next Generation Student Systems project (NGSS) and aims to modernize its systems and methods of supporting the academic mission and community of the University of Pennsylvania. To drive the success of this ambitious project we are rapidly growing an energetic, positive, and forward thinking team.

Reporting to the Assistant University Registrar for Scheduling, the Scheduling Data Analyst will partner with the office's other Business and Data Analysts to support and maintain reporting and operational deliverables, and to ensure that data flow between the Student Information System (SIS) and tertiary systems is running efficiently. In this capacity, the role may serve as the office's liaison for scheduling research needs. Such reporting includes analysis and interpretation of data to identify trends in scheduling that will help drive policy decisions.

Job Description

  • Reporting to the Assistant University Registrar for Scheduling, the Scheduling Data Analyst will partner with the office's other Business and Data Analysts to support and maintain reporting and operational deliverables, and to ensure that data flow between the Student Information System (SIS) and tertiary systems is running efficiently. In this capacity, the role may serve as the office's liaison for scheduling research needs.  Such reporting includes analysis and interpretation of data to identify trends in scheduling that will help drive policy decisions.
  • Provides technical and reporting support for the Office of the University Registrar's scheduling systems, CLSS and Infosilem, including the individual maintenance of over 7,000 course sections, 1,000 final exams, and 1,000 academic events per term. Ensures the integrity of course section scheduling, efficient and effective daily operations within the scheduling softwares, and meets reporting needs pertaining to scheduling for the University Registrar and School based offices. Serves as a resource to identify section level scheduling errors and works with University partners to remedy.
  • Data Analysis: Build queries to identify course section data, identify trends in course section scheduling and academic event scheduling; review optimization results from course scheduling software, identify changes to classroom inventory and impacts on scheduling.
  • Audit and Compliance: Identify and review SIS transfer and bridge error validations and reports, monitor data entry into scheduling software to verify that course section policies are followed, work with Assistant University Registrar and Scheduling Coordinator to enforce policies when appropriate.
  • Configuration Building and Maintenance: Establish configurations of course and event scheduling software, Maintain and update the configurations as needed.
  • Documentation Analyst: Document configurations and scheduling business processes for the Office of the University Registrar.
  • Office Representation and Committee Work: Collaborate with team of Data and Business Analysts within the Office of the University Registrar.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree: Major in statistics, business, computer science, or related field is preferred
  • Minimum of 2-3 years working in higher education
  • Experience working with SQL and XML preferred
  • Proficient, demonstrated knowledge of Microsoft Excel
  • Strong data analysis, systems, and reporting experience required
  • Experience working with various large data sources, extracting and manipulating data by designing, refining, and running complex queries
  • Strong verbal and written communication skills
  • Experience working in a fast-paced environment with quickly changing priorities
  • Experience working in Banner, Courseleaf CLSS, and Infosilem, are preferred
  • Knowledge of reporting tools such as Business Objects and Tableau is preferred
