Job Description Summary

Administer all financial activity related to office administration and operations at PCI to ensure efficient and timely operations and analyses. Responsible for purchasing, accounts payable, non-PO requests, payroll, travel and expense reimbursement transactions. Prepares reconciliations, financial reports and budget analyses for all operating, grant and special purpose funds. Ensures all PCI financial activity is carried out in accordance with Penn and PCI policies.

Administer all financial activity related to office administration at PCI to ensure efficient and timely daily operations.  Responsible for purchasing, accounts payable, non-PO requests, payroll, travel and expense reimbursement transactions.  Prepares reconciliations, financial reports and budget analysis for all operating, grant and special purpose funds. Ensures all PCI financial activity is carried out in accordance with Penn and PCI policies.  Provide advice and consultation to department administrative staff regarding University policies and procedures.

Supports the preparation of the annual operating budget through reviewing year over year trends and working collaboratively with PCI leadership to identify future years’ needs.  Closely monitors and reports year-to-date spend vs. budget, analyzes spend against budgeted, planned and projected amounts.  Through careful monitoring and excellent organization/tracking of data and information, can timely assess whether resources are available for new/unplanned expenditures.

Assist with financial administration of license agreements as needed (cash, collections, invoicing, etc.)

Qualifications:

A minimum of a Bachelor’s degree and 3-5 years of experience in fiscal operations, finance or accounting required.  Working knowledge of accounting and financial analysis.  Previous experience with Microsoft Office, Excel in particular. Knowledge of University of Pennsylvania financial policies and related systems (Business objects, BEN Financials, PaymentNet, BEN Deposits, WorkDay, and Concur) strongly preferred. Excellent customer service and communication (oral and written) skills. Detail oriented.
