ADMINISTRATIVE ASSISTANT 2, Anthropology Program, to perform complex and diverse financial and administrative duties, including general administrative support for ten full-time faculty members. Will prepare and process travel expense reports and reimbursements; independently communicate with companies who require purchase orders, work within established budgets, reconcile monthly accounting statements, investigating discrepancies when they occur; create and maintain financial filing systems; submit journal vouchers; analyze spending trends and provide recommendations for adjustments; monitor and purchase office supplies, equipment, books, and teaching-related materials, independently selecting MIT and outside vendors; track and validate deliveries; reconcile and upload packaging documentation; coordinate travel for faculty, visitors, and students; order audio/visual equipment, place refreshment orders, contact venues to acquire space on and off campus, and occasionally design event flyers or create invitations; edit department website; coordinate departmental social media, liaising with MIT News Office when appropriate; coordinate mass mailings and distribute and process departmental mail; assist senior administrative assistant with delivery of tenure/promotion case materials; assist with coordinating program events and seminar series as needed; anticipate and initiate actions regarding daily office operations; research and gather information for complex projects, including those related to the Visiting Committee; supervise a student assistant with clerical tasks; and perform other duties as requested. Will report to the administrative officer.
REQUIRED: at least three years’ administrative, office, or related experience; excellent organizational and communication skills; attention to detail; overall proficiency with computers, including experience with Microsoft Office; and discretion and good judgment with confidential information/issues.
PREFERRED: familiarity with SAP and SAPweb, MIT experience, and a bachelor’s degree. Job #18776-5
