Student Services Officer 1
The Department of Political Science is seeking a Student Services Officer 1 (SSO1) who will be responsible for course scheduling, undergraduate degree progress monitoring and advising, and other administrative matters pertaining to the undergraduate program.
The Political Science department consists of 40+ Academic Council faculty and 6 administrative staff. Reporting to the Student Services Manager, the SSO1 is a key member of the administrative team, supporting the department’s ~150 undergraduate majors and minors, and 90+ graduate students. The SSO1 will also work closely with the Director of Undergraduate Studies as well as department faculty and other departments and programs throughout the university including the School of Humanities and Sciences Dean’s Office, the Registrar’s Office, the Student Services Center, the Vice Provost for Undergraduate Education, and BEAM (Stanford Career Education).
The department specific responsibilities for this position are*:
- Scheduling: Coordinate the scheduling of ~90 Political Science classes per year. Work closely with faculty to ensure the effective administrative set-up of Political Science classes. Collect teaching plans from faculty, input class offerings into CPS and PeopleSoft, schedule rooms, and oversee Canvas set-up and the course evaluation process.
- Advising: Advise undergraduate students on degree requirements and university resources. Monitor and track student progress in the major and minor and certify completion of major and minor requirements. Provide guidance to prospective students throughout the declaration process. Resolve complex student issues in coordination with faculty, TA’s, staff and other campus offices.
- Event Planning: Responsible for coordinating commencement day activities in collaboration with the Student Services Manager and other departmental staff. Coordinate undergraduate Political Science student events including major information sessions and other major recruitment events, senior dinner, honors events and information sessions, social events, and alumni events.
- Website and Print Material: Develop, maintain and update the undergraduate and course offerings sections of the department website, the department section of the Stanford Bulletin and all print literature, newsletters, and forms related to the undergraduate program.
- Peer Advising: Hire, mentor and supervise the Peer Advisors.

Assist in making first level decisions on issues regarding admission, financial aid, student housing, registrar services, visa services, student life, advising, career counseling and academic services. Resolve routine issues within own unit using defined policies and practices and professional knowledge as reference.
- Review and administer student records, analyze data, and make recommendations that require interpretation and influence decisions on routine issues.
- Collaborate with other staff, faculty and other offices to resolve complex issues.
- Contribute to developing and analyzing review process of offerings, policies and programs.
- Collect and analyze data from multiple sources, prepare reports. Contribute to identifying trends, needs analysis, participate in the implementation and testing of technology.
- Contribute to development of marketing materials and strategies, assist in planning and developing programming activities, outreach functions.
- Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., in order to assist them in making appropriate choices and decisions.
- Apprise students of research, fellowship and scholarship opportunities and participate in related student recruitment and selection.
- Serve as a subject matter resource to other departments; represent unit/department.
- May assist with the administration of financial processes.
- Participate as a member of a project team.
- May train and supervise other staff, volunteers, student and temporary workers.

Education & Experience:
- Bachelor’s degree and one year of relevant experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:
- Strong written and verbal communication skills.
- Basic computer skills, including experience with Microsoft Office Suite.
- Basic analysis and problem-solving skills.
- Excellent customer service skills.
- Relevant computer systems/technology experience.
- Understanding of financial transactions.
- Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
Preferred Knowledge, Skills and Abilities:
- Knowledge of student affairs and familiarity with the operations of a college or university highly preferred.
- Experience in Stanford’s academic and student related systems preferred.
- Strong attention to details with the high degree of accuracy.
- Exceptional organizational skills and ability to make good judgments.
- Ability to manage multiple tasks with changing priorities independently, and complete assignments within designated deadlines.
Certifications and Licenses:
• Frequently sit, perform desk-based computer tasks.
• Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
