Job Description Summary

The Associate Director is responsible for the oversight of the day-to-day management of the admissions process, including orienting and training staff, faculty and students, managing the Penn Preview revisit program, scheduling and coordinating interview dates and rooms, and organizing all interview day activities. The Associate Director is also responsible for scheduling and confirming faculty speakers, activity presenters, and faculty and student interviewers for the PSOM 6 month interview season. The Associate Director will communicate and advise MD, MD/PhD, Special Program, and deferred applicants on all Perelman and AMCAS policies and processes, and will produce and manage data spreadsheets to upload applicant information to Penn’s data warehouse.

The Associate Director will gather and prepare materials for the Early Decision Program for Committee review, create marketing materials, draft and send letters, and reply to emails as appropriate. The Associate Director works closely with the Program for Diversity and Inclusion to schedule events specific to that group of students. The Associate Director will schedule meetings as needed and will meet with faculty, students and staff for programmatic and assessment reasons. The Associate Director will oversee the planning and implementation of the Penn Preview weekend, including coordinating activities, transportation, and catering for the 3-day event. The Associate Director select and schedule dates and presenters for the summer information sessions for potential applicants. The Associate Director will occasionally be asked to travel for recruitment events.

Job Description

Manage the day-to-day operations of the admissions cycle including uploading data, run reports, schedule admissions committee meetings and troubleshoot the admissions program as needed.

Prepare, analyze and present annual data as needed for the Dean, Trustees and Development.

Manage the day-to-day operations of the six month admissions season including scheduling student and faculty interviewers, activity presenters, overseeing daily logistics, catering and scheduling interviews, Orients and trains staff, faculty and students. Acts in a lead or senior capacity.

Oversees the admissions process for the applicants in the early decision category.

Advise applicants as needed

Create marketing materials including the admissions web site, PowerPoint presentations and other materials as needed.

Design, plan and implement the three-day revisit program, Penn Preview Schedules, plan, and coordinates events co-sponsored by the Program for Diversity and Inclusion Schedule and staff meetings as needed Attend recruitment trips as needed Perform additional duties as assigned

Qualifications:

Bachelor's Degree and 2-3 years of experience or equivalent combination of education and experience required.
