Job Description

The Academic Coordinator will be responsible for the coordination for all faculty affairs in the Division of General Internal Medicine. The position will support the Associate Director with faculty recruitment, appointments, reappointments, promotions, credentialing, onboarding and reduction in duties and extensions. He/she will serve as a resource for the Division Chief, faculty, and business administrators regarding faculty affairs. This position will also maintain the division website.

Duties will include: Coordinate reappointment and promotion process for all existing faculty. This includes timely preparation of all required dossier materials for the DOM, tracking all upcoming reappointments, and working with division leadership to determine upcoming promotions. Coordinate the recruitment of new faculty including scheduling and coordination of search committee meetings, arranging lodging for all candidates, scheduling and coordinating faculty visits. Research, Ambulatory, Hospitalist, Hospitalist Scholars and the occasional specialty searches. Coordinate the faculty appointment process for all new faculty including but not limited to posting of jobs description in reputable journals, complete national and limited search requirements, complete academic appointment dossier and AA form for candidate, create a LAWSON account, create new online profiles for new faculty, and arrange for headshots, mail offer letters, and coordinate faculty onboarding and credentialing. Maintain updates on division website and support web-based projects. Coordinate credentialing and malpractice processes for all clinical faculty, including any moonlighters. Process all reductions in duties and extensions for faculty. Coordinate yearly faculty orientation – including but not limited to: create agenda, set dates, send meeting requests, gather documentation for folders, work with faculty to make sure presentations are ready, set up room and AV, order food.

The ideal candidate will have experience in faculty affairs and/or experience at Penn. We are looking for someone that has established processes for organization, a customer service mindset, and attention to detail. 

The minimum of a High School diploma and 5 years of experience or an equivalent combination of education and experience required. College degree or coursework is a plus.
