Job Description Summary
Represents Faculty Affairs & Professional Development (FAPD) as a resource to departmental faculty affairs staff and leadership on the policies, processes, and applications that support faculty employment focusing on relating to searches, recruitment, appointment, reappointment, and promotion. This position will have particular expertise and serve as a primary resource in the area of search and recruitment for department and division leaders, faculty and other administrators regarding University and Perelman School of Medicine (PSOM) policies, procedures and processes related to faculty employment and work to ensure compliance and accuracy in all aspects. Works closely and collaboratively with faculty coordinators, meeting regularly and other designated point people within the departments, providing and reinforcing ongoing training and best practices, problem solving and helping to plan proactively and review procedures and documentation. Position requires demonstrated experience working with systems and applications. Recognizes and develops, improvements and efficiencies in relation to the Faculty Search applications data collection and reporting. Provide local data, system, and reporting expertise to users and leadership across the University.
Working closely with the Associate Director, coordinates faculty search process, oversees and manages faculty searches, Affirmative Action/EEO for faculty and academic support staff in PSOM, consulting with and advising departments in process, procedures, and policies, providing orientation and continuing education to faculty coordinators. Address and resolve issues proactively to meet University requirements for final approval of faculty searches by Provost. Consult with departments to review and process faculty search waiver requests to ensure high-level of approvals by Provost office. Interface with PSOM IT and department staff to resolve technical and reporting issues in the online systems in a timely manner.
Provides guidance, support and training to departmental faculty affairs staff on policies, processes, documentation requirements, timelines, and related applications that support faculty employment and academic review. Meets regularly with department staff to provide and reinforce ongoing training, proactive planning and problem solving. Serves as a faculty affairs support generalist supporting departments in times of staffing transitions.
Review Dossiers, CVs, Extramural Consultants and other required documentation for accuracy of information and compliance with University policy in preparation for PSOM COAP and University Provost review. Works closely and collaboratively with and meet regularly with faculty coordinators and other designated point people within departments, providing and reinforcing ongoing training and best practices, problem solving and helping to plan proactively and review procedures and documentation.
Provides administrative support for AC Advisory Committee appointment and promotion process. Works with Director of FAPD to organize agenda, prepare cases and communicate with faculty members of AC Advisory Committee.
Develops and maintains thorough knowledge of faculty tracks and PSOM and University policies relating to faculty employment. Participates in initiatives supporting faculty careers and diversity. Perform additional duties as assigned.
Bachelor's degree and 3-5 years of related experience required or equivalent combination of education and experience. Proficiency in Microsoft Office, demonstrated experience working with systems and applications. Excellent organizational and prioritization skills; strong verbal and written communication skills; ability to deal effectively with diverse constituencies.
