ADMINISTRATIVE ASSISTANT 2Music and Theater Arts (MTA), to perform highly complex and diverse duties in support of section head and general section support; and prepare and oversee promotion cases, reappointment cases, and job searches. Responsibilities include greeting visitors, responding to inquiries, and creating a welcoming and well-organized office environment; assisting section head with complex scheduling and meetings; arranging travel; preparing donor materials; acting as primary point of contact/liaison for section head’s communication; preparing and organizing logistics for meetings; composing letters and correspondence; independently working on other duties and special projects for the section head as needed; coordinating all aspects of promotion, reappointment, and hiring cases; compiling and organizing all aspects of complex searches on strict deadlines, including document preparation, posting advertisements, university mailings, organizing committee meetings, database management, etc.; planning and organizing multi-step events including reserving space, sending invitations, tracking invitees, ordering food, handling AV requests, etc.; maintaining office supplies; processing personal credit card charges and generating requests for payment and parking passes as needed; assisting the AO as needed. 

Job Requirements

REQUIRED high school diploma; three years’ administrative/office/related experience; strong organizational, communication, interpersonal, and problem-solving skills; advanced-level proficiency with Macintosh computers, Outlook, Word, Excel, e-mail, Adobe Acrobat, and PowerPoint; willingness/ability to quickly learn new systems; proofreading, editing, and writing experience; meticulous attention to detail and accuracy; good attendance; discretion and good judgment with confidential information/issues; and ability to multitask, manage multiple projects, meet multiple deadlines, and work independently and effectively in a pressured work environment with changing priorities and minimal supervision. PREFERRED: bachelor’s degree; knowledge of MIT’s financial policies; and in-depth understanding of MIT, SHASS, and MTA policies/procedures.  Job #18373-5
