Job Summary

The Finance Director of the Athenaeum is responsible for all financial operations at the prestigious faculty club at Caltech. The selected candidate will be vibrant, hardworking, energetic, and passionate about what they do and about the Athenaeum. Under minimaI direction, he or she will apply specialized knowledge and expertise in various areas of accounting services to include establishing and maintaining financial controls, accounts receivable, accounts payable, general ledger reconciliations and budgeting. Relying on experience and judgment to plan and accomplish goals, the Finance Director’s nature of work will reflect substantial variety and high level of sensitivity and complexity. As part of this management team, the Finance Director establishes and communicates policies and procedures for financial recording and transactions; implements process enhancements to improve overall accounting functions.

Job Duties

  • Provides leadership and/or guidance in all aspects of accounting services; may spearhead special projects, complex contracts and negotiations, and evaluates and modifies manual and electronic systems and process development
  • Directs financial operations of the club; identifies organizational accounting needs and ensures that department and Institute needs are being met; oversees management report development and analysis
  • Develops, implements and maintains internal control policies and procedures to help assure that records are accurately maintained and that established policies and practices are satisfactorily and consistently followed
  • Acts as liaison for systems including Northstar, Clubessential, PaySimple, and Forte. Resolves system issues between Club users and IMSS, the Institute’s IT department, and/or directly with software providers
  • Formulates, receives and recommends to the General Manager policy proposals relating to accounting, auditing, budget, revenue, cost control procedures, and tax matters. Coordinates the compilation of statistics and office methods and procedures
  • Directs or prepares the monthly trial balance and resulting financial statements including Income Statement, Balance Sheet, Mid-year and Annual Board of Governors Reports, and ad-hoc financial reports for the club and various departments on campus, along with required supporting schedules and other data necessary for financial reports and records
  • Prepares budgets and financial forecasts in coordination with the various committees, departments and General Manager; analyzes financial information, monitors budgeted versus actual expenditures, investigates variances with operational departments; recommends corrective actions to help achieve budget goals
  • Works directly with various departments on campus including Human Resources, Facilities, IMSS, Business and Finance to resolve any operational issues or questions
  • Serves as liaison for Internal Auditors. Direct or prepares audit schedules for Internal Auditors
  • Consults with senior management to develop specialized accounting or financial information; reviews/revises accounting schedules and reports
  • Reviews and presents accounting and financial statements for senior management
  • Oversees complex intra-company reconciliations of cash, accounts receivables, payroll, and other major accounts
  • Directs or prepares required reports for the Institute Tax Dept. for sales tax and occupancy tax returns, and other reporting requirements
  • Selects, trains, supervises and evaluates accounting staff; ensures that staff provide timely and courteous service to Club members and Caltech departments
  • Attends monthly Finance Committee and other meetings as required
  • Performs collection of past due accounts, advises General Manager and Board when difficult situations may arise and prepares monthly analysis of delinquent receivables
  • Safeguards all funds in bank accounts; assures that revenues are properly and correctly deposited
  • Constantly improves work techniques and processes; develops and recommends creative approaches to achieving accounting objectives and goals
  • Develops strategies to Improve Internal/external productivity and/or efficient use of all of the club’s and Institute’s resources
  • Other duties as assigned

Basic Qualifications

  • Bachelors’ degree in Accounting or related field of study
  • 5 or more year’s progressively responsible experience in accounting and financial operations
  • Proven ability to manage an accounting team and direct all related activity
  • Demonstrated ability and knowledge in all conventional and technical aspects of accounting practices and principles
  • The ability to analyze and model data to change procedures and ensure that the controls in place are appropriate is required
  • Must be a dynamic leader with exceptional customer service skills
  • Must be able to work in a fast-paced environment, be organized and able to prioritize tasks to meet multiple deadlines
  • Excellent written and verbal communication skills will be required to successfully interface with diverse membership and staff
  • Proficient PC skills including demonstrated knowledge of Windows NT, Internet, Word, Excel, Microsoft Office products
  • Weekend/early morning/late evening work may be required

Preferred Qualifications

  • Master’s Degree in Accounting, Finance or related field strongly preferred
  • 5 or more years progressively responsible accounting and financial operations experience in a hotel, private club or university club preferred
  • Oracle and Kronos systems knowledge a plus
  • Knowledge of Club Accounting System would be plus
