ADMINISTRATIVE ASSISTANT 2, Mechanical Engineering, to support the Navy program faculty and Professional Summer Program.  Will serve as ambassador and key contact for attendees of Professional Summer; update application status and manage waitlist; work with hotel regarding setting up reservation blocks; participate in planning meetings and take notes; monitor and order supplies and equipment; assist with preparing financial/budget spreadsheets; process invoices, journal vouchers, requisitions, billing/invoicing, adjustments and changes; organize events such as luncheons and recreational activities; compos and edit internal correspondence and documents; deal with confidential issues using discretion and judgment; assist faculty and teaching assistants with the preparation and organization of materials for courses; respond to inquiries about Professional Summer and 2N courses; ensure information on the website is up-to-date; assign offices and keys to new students, staff, and visitors; assist with orienting new students, professors, and visitors; track status of student development and training; and generate promotional material--from established content--for display and distribution.

Job Requirements

REQUIRED: at least three years’ related experience; excellent organizational, word processing,  interpersonal, and communication skills; ability to prioritize and handle multiple tasks simultaneously, problem solve, work effectively with people at all levels, and function both independently and as part of a team; experience with arranging travel, paying invoices, ordering supplies, account reconciliation, and expense reimbursements; and proficiency with Microsoft Office and willingness to learn new software.  Job #18265-5
