ADMINISTRATIVE ASSISTANT 2, Schwarzman College of Computing-Dean's Office, to perform complex and diverse duties in direct support of the assistant dean for development, director of communications, and director of human resources.  Will provide administrative support for multiple programs and projects, use knowledge of MIT and other departments to anticipate and initiate actions regarding office operations, and help to coordinate these activities within the dean’s office and across the college broadly.  Responsibilities include calendar support and meeting scheduling, maintaining financial records and monthly financial review and control, acting as a receptionist, screening phone calls and visitors, assisting with internal requests for information and reports, arranging group meetings and taking minutes, maintaining files, planning and coordinating high profile events and meetings, coordinating travel and maintaining supporting documentation, and other duties as assigned. This will be a “shared” support position requiring proactive communicative about priorities, workload, and time-management.  

Job Requirements

REQUIRED:  high school diploma or its equivalent; at least three years’ secretarial/office/related experience; excellent analytical, problem-solving, critical-thinking, organizational, proofreading, interpersonal, communication, and English grammar skills; initiative; flexibility; proficiency with Microsoft Office, SAP, FileMaker Pro, and Cognos; comfort with both PCs and Macs and with learning new programs/software; experience updating websites, arranging travel, paying invoices, ordering supplies, reconciling accounts, and reimbursing expenses; discretion and judgment with confidential information; ability to move/lift heavy objects weighing up to 20lbs.; sensitivity to organizational dynamics; and attention to detail.  Must be able to prioritize and handle multiple diverse tasks simultaneously in a fast-paced setting, work autonomously and as part of a team in a highly visible position, and collaborate effectively with people at all levels.  Bachelor’s degree preferred.  Job #18171-5
