Job Description Summary

The Office of the University Registrar is part of the Student Registration and Financial Services team. The office plays a central role in the Next Generation Student Systems project (NGSS) and aims to modernize its systems and methods of supporting the academic mission and community of the University of Pennsylvania. To drive the success of this ambitious project we are rapidly growing an energetic, positive, and forward thinking team.

As part of the Next Generation Student Systems project (NGSS), the Degree Planning and Audit Scribe will work under the direction of the Degree Planning and Audit Stream Lead and Penn Subject Matter Expert to set up and maintain the University of Pennsylvania’s Degree Planning and Audit requirements via the to-be-implemented Ellucian Degree Works product.

During the transition to Banner, the Degree Planning and Audit Scribe will work with NGSS and Ellucian to scribe degree requirements for the current and past academic years. Post “go-live” the Degree Planning and Audit Scribe will operate within the Office of the University Registrar maintaining and enhancing the degree requirements in consultation with academic leadership in the schools and divisions and will serve as a functional expert on the Degree Works product.

Job Description

  • Work closely with staff in Penn’s Schools who have Registrar responsibilities, department administrators, other subject matter experts, and NGSS and functional teams to elicit, establish and confirm Degree Planning and Audit requirements. Communicate with School Registrars and Department Administrators via emails, meetings, JIRA tickets or other forms of communication.  Raise questions/concerns upon receipt of changes approved through Curriculum Manager. Serve as a functional expert and provide recommendations on how requirements/blocks should be constructed based on how requirements should be presented to students; complete scribing based on school’s request and functional approval from an Assistant Registrar for Catalog and Curriculum, Associate Registrar or University Registrar.
  • Effectuate degree requirements by writing business rules of varying complexity within strict deadlines using Ellucian’s Degree Works product, working forward and backward from the base catalog year as needed. Using Ellucian Scribe language will translate degree requirements from Catalog and Curriculum Manager into student-facing degree audit.
  • Execute unit and user acceptance test cases and pass or fail processes based on the outcome of tests and assist with troubleshooting when requested. Identify and make recommendations for changes, updates, edits, etc., and consult with CAT/CM team and vendor to implement them.
  • Create and maintain documentation such as use cases and procedure documents
  • Develop and maintain a thorough understanding of the business policies and procedures of Degree Planning and Audit requirements management and an expert understanding of the capabilities of the Degree Works product. Leverage that understanding to improve processes and provide guidance to academic partners from schools and departments as needed. Will collaborate with CAT/CM team to create policies when necessary.
  • Perform additional duties as assigned

Qualifications

  • Bachelor's degree, and 3-5 years of professional experience in a Registrar’s Office, or equivalent combination of education and experience are required
  • Demonstrable ability to write logic statements of varying complexity (eg. if this, then that) in previous experience
  • Organizational skills and ability to prioritize work and meet deadlines
  • Maintain accurate, efficient and effective data entry processes (e.g. maintaining Excel files of data) based on the goals of the project
  • Demonstrable attention to detail in previous experience
  • Problem identification and critical thinking skills
  • Demonstrated ability to write clearly and succinctly
  • Self-motivated and task-oriented person with ability adapt in a project based environment.
  • Experience with Banner Student is preferred
  • Experience with Ellucian Degree Works is a plus
