Job Description Summary
Administrative and Financial Officer
Reporting to the Division Administrator for Cardiovascular Medicine and the Section Chief of Electrophysiology, acts as the Administrative Financial Officer for the section of electrophysiology. Responsible for the clinical operations of 15 electrophysiologists, 3 research coordinators, 4 remote device technicians and 1 remote device office supervisor, 1 office manager and 14 administrative assistants. Incumbent is responsible for continually assessing operations in the HVC, Princeton, Valley Forge, Radnor and PAH/PMWS electrophysiology practice sites to ensure quality, compliance with governmental agencies, facilitating patient access, patient, physican and staff satisfaction, and the fiscal health of he section. Incumbent is also responsible for coordination of the EP fellowship program (11 clinical and 2-5 research fellows) which includes applications for grant/funding support and optimization of educational activities deemed essential for training.

Job Description
Under the direction of the Administrative Director, and Clinical Director for the Heart and Vascular Center, manages operational activity. Coordinates and manages administrative workflows for all practices including Administrative Assistant duties for the clinical office visits. Ensures all operational and AA processes are being followed. Promotes PennMedicine in all practices and ensure processes are in place to accommodate the use of this tool. Maintains compliance with governmental regulations regarding patient care, safety, confidentiality, JCAHO requirements, etc. Oversees the eStar time and attendance process for direct reports.  Approves leave time per departmental and Health Systems policies. Regularly reviews staff assignments, staffing levels and makes changes and/or recommendations to optimize program support. Communicates to staff changes in practice policies or procedures; monitors staff compliance. Responsible as part of a team for ongoing EPIC issues and changes for practice staff. Collects and documents program data for regulatory and insurance audits. Involved in improving billing practices for the programs, ensuring that all billable services are being captured. Ensures smooth onboarding of new faculty. Responsible to regularly meet with Administrative and Clinical Directors for HVC. Works with HVC practice manager and service line to increase new patient visit volume.  Optimizes facilities, computer/IT support, conferencing, grant application and philanthropic funding support for clinical and research programs in electrophysiology and the electrophysiology fellowship training program. Works with directors/physicians on maintaining patient registries related to atrial fibrillation and ventricular tachycardia ablation procedures and device therapies. Creates protocols for managing device recalls for electrophysiology program. Works with human resources to promptly fill all needed clinical and research positions in electrophysiology and participates in recruitment and interviewing efforts as required. Develops an understanding of best clinical and research practices in electrophysiology as dictated by Heart Rhythm Society guideline documents.

Qualifications:
Bachelor's Degree and 5 to 7 years experience or equivalent combination of education and experience required.
