What You’ll Do:

This position requires medium proficiency in oral and writing skills of Mandarin (Cantonese in addition to Mandarin is preferable) and fluent in English. Act on behalf of the Project Manager in regards to establishing priorities and identifying and resolving problems that are administrative and/or operational in nature. The project administrator will be able to assist project manager to draft and translate the project-related documents in both Chinese and English. The project administrator will also be a key member of the center’s administrative team and will be available to support the team with large scale center functions on an as needed basis.

Core duties will include (but are not limited to):

  • Act on behalf of the supervisors with regard to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and perform duties associated with scheduling, organizing, e-mail correspondence, planning and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budgets.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Monitor confidential and high priority e-mail communications throughout the day to assist in planning and scheduling calendar(s) with limited consultation, resolve calendaring conflicts across international time zones, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems, and master a variety of project management software packages to assist the entire team in moving forward on projects and identifying bottlenecks and opportunities for streamlining/expediting workflow.
  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
  • May lead staff or supervise day-to-day work of students, post-docs, and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness in coordination with the PI, and providing performance review input.

Education & Experience:

  • High school diploma and four years of administrative experience (Bachelor’s Degree preferred) or a combination of education and relevant experience.

  • Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates.
  • Exceptional organizational skills and attention to detail. Demonstrated success in following through and completing projects.
  • Ability to take initiative and ownership of projects, while still being open to new and creative solutions.
  • Advanced computer skills with a working knowledge of applications such as Excel, Word, PowerPoint, Google platform, and Project Management Software.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills and a customer-service orientation.

Preferred Knowledge, Skills and Abilities:

Bilingual - Mandarin (Cantonese in addition to Mandarin is preferable) and fluent in English
