ABOUT MAINTENANCE OPERATIONS & CAPITAL PROJECTS (MCP)

This division supports all R&DE operations and provides strong stewardship of its facilities by delivering daily and preventive maintenance, executing 50-year asset renewal model, managing design and construction of capital and other essential projects, infusing sustainability, safeguarding occupational health and safety, monitoring life-safety systems and after-hours security, overseeing furnishings/fixtures and parts inventory, administering move services and the fleet, managing utilities and waste, ensuring emergency preparedness and business continuity, and providing space and property administration.

JOB PURPOSE:

Coordinate and schedule asset assessments of building subsystems within R&DE facilities totaling 315 buildings. Assist with assessments and integrate observed information into our asset tracking database.

Manage the project request process for all incoming new project requests and the tracking of this project information in weekly reporting protocols.

Manage current and long term space movement and planning for R&DE.  Additionally, manage activities of assigned projects from project initiation through completion with limited guidance; coordinate all technical activities on assigned projects.

CORE DUTIES*:

  • Assist Facility Planning Project Manager, and FRRM Analyst with asset assessments throughout all of R&DE
  • Coordinate scheduling of asset assessments with inspection teams and user groups
  • Track assessment information and incorporate information into Asset Renewal model
  • Coordinate project requests for MCP from all of R&DE and maintain data, tracking from request through to handoff of scoped project to the Project Delivery Group.
  • Perform space feasibility and fit studies
  • Evaluate space requests and review with stakeholders and review space requests to ensure they meet the department needs
  • Identify strategies for sequencing space moves
  • Manage R&DE space guidelines
  • Administer all requests for R&DE space and maintain database accordingly
  • Coordinate substantial project initiatives with summer conferences, operations, and other schedules
  • Liaise with campus partners to support project document management initiatives
  • Review project plans and proposals, and work with management to develop project objectives; identify project responsibilities by determining the phases and elements of the project; calculate time frames and sequence the stages of the project.
  • Perform project management oversight of small projects or more than one large task within a larger project.
  • Oversee, coordinate, and perform technical aspects of project, with guidance, based on type of project manager support required (e.g., engineer, quality, scheduler).
  • Review, evaluate, approve, and monitor cost schedule and technical scope baselines.
  • Ensure the preparation of required project documentation.
  • Contribute to communication plan and change management elements.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor's degree in a related field and two years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Polished written and oral communication skills to address a wide variety of audiences.
  • Ability to productively contribute to cross-functional teams.
  • Depth of knowledge in technical discipline/domain needed to deliver projects.
  • Demonstrated project management ability to employ integration, scope time management, cost, quality, human resources, communications, risk, and procurement components.
  • Work cross functionally with other Stanford departments.

PHYSICAL REQUIREMENTS*:

  • Frequently stand/walk, sit, perform desk based computer tasks and lift/carry/push/pull objects that weigh up to 10 pounds.
  • Occasionally use a telephone, write by hand, twist/bend/stoop/squat, grasp lightly/fine manipulation and lift/carry/push/pull objects that weigh up to 20 pounds.
  • Rarely kneel, crawl, climb ladders, reach/work above shoulder, grasp forcefully, carry, push, and pull objects that weigh up to 40 pounds or more.
  • Ability to maintain a valid non-commercial California Driver's license.
  • Auditory acuity with ability to hear horns and bells.
  • Visual acuity with ability to determine colors for finishes.
  • Ability to climb scaffolding, ladders, stairs etc.

WORKING CONDITIONS:

  • May work in active laboratories or outdoor environments.
  • May be exposed to extreme hot and cold temperatures, be exposed to high voltage electricity, radiation or electromagnetic fields, lasers, noise > 80dB TWA, allergens/biohazards/chemicals /asbestos, or heavy metals or work on roofs at heights greater than 10 ft.
  • May drive vehicle day and night.
  • Must wear personal protective equipment as defined/required by job assignments, and dress for clean rooms.
  • May work extended hours, evenings and weekends.
