Job Description

  • Develop, plan, coordinate, execute and manage fundraising and other events to ensure appropriate cultivation and stewardship of prospects and donors.
  • Work with HOD (Head of Department) to manage department budget including planning, monitoring and submission of the annual budget for the department.
  • Cultivation Event Management
    • Overall responsible for the Influential Impact Lunch Series, Dean’s Breakfast Series, and other special events with a focus on securing gifts for the University, while maintaining and growing donor and prospect pipelines.
    • Creates plans for the above events programming, marketing, and logistics, and oversees their execution.
    • Prepare event budgets and financial reports; accountable for staying within or under budget and meeting budget goals.
    • Compose written communications, compile invitation lists, develop invitations, create event programs, prepare event program scripts, and briefings, (as needed).
    • Manage all event-related vendor relationships and event planning responsibilities to ensure successful execution of the event.
    • Data entry, financial reporting, as well as monitor and analyse donor and prospect participation in events.
    • Create and implement strategies to meet fundraising goals through special events and other events as assigned.
  • Stewardship Event Management
    • Plan and execute key donor events such as appreciation event, signing ceremony, donor lunches/dinners, and donor met up sessions, milestone celebrations etc.
    • Manage or supervise the management of donor events in collaboration with institutional partners and other external colleagues. Including but not limited to Commencement Ceremony, Patron’s Day, Arts Festival, Academic Year Opening Ceremony, Anniversary Events and any other forums, or lecture series.
    • Work with the advancement team on stewardship activities for relationship building with prospects and donors including organizing Campus Tour.
    • Develop and coordinate all written communication and event correspondence, including guest/invitation lists, mailings, programs, emcee scripts, briefing notes etc.
    • Maintain vendor relationships, event budgets and timelines.
    • Manage pre and post-event activities (i.e. attendance, budgets, supplies, and inventory).
    • Executes any other special projects throughout the year with a focus on Office of Advancement mission; e.g. Festive gifts for CNY, Mid Autumn, Christmas etc.
  • Donor Recognition Merchandise
    • Responsible for events and stewardship related merchandise for the department.
    • Explore suitable supply for donor recognitions, plaques, appreciation tokens.

Qualifications

  • Diploma/ Degree with at least 5 years of working experience.
  • Outstanding organisational skills and attention to detail.
  • Strong interpersonal skills, with the ability to make presentations to mid to senior-level groups as well as to build one-on-one relationships with members of diverse constituencies at all levels of authority.
  • Strong organisational and writing skills.
  • Demonstrated independent, mature judgment.
  • Ability to consistently maintain a professional image and demeanour.
  • Strong problem-solving skills.
  • Ability to collaborate and prioritise in the management of multiple projects and deadlines.
  • Ability to work a flexible schedule that includes evenings, weekends, and some holidays.
  • Experience in events management, marketing communications or public relations.
  • User-knowledge of donor/constituent management database systems and Cvent software
  • Experience in data analysis, interpretation, and evaluation of information. Strong desktop computer skills and knowledge of MS Office suite.

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
