Position Overview

The Enrolment Officer has an operational and service based role providing information and advice to current and prospective students and staff regarding academic programs, mobility, admission and enrolment matters. The incumbent administers a range of processes relating to the admission, enrolment and adjustment of student study plans and participates in student related University events such as orientation, open days, enrolment advisory activities and career markets.

The Enrolment Officer provides the first level of enrolment specific student enquiry response, and works collaboratively with the Client Service Team to ensure an integrated, responsive and student focused service.

Division of Student Life

The Division of Student Life plays a critical role in driving and meeting the University’s objectives and strategic intent. Working closely with and across the Colleges and Divisions, and in collaboration with the Office of the Provost, the Division has a focus on cross-institutional academic quality, innovation in learning and teaching, efficiency of services, domestic recruitment, suitability of learning infrastructure, and overall student experience.

The Division encompasses the following Directorates;

  • Domestic Recruitment and Engagement
  • Learning, Teaching and Student Engagement
  • Library and Information Services
  • Student Services.

Student Services Directorate

The Student Services Directorate provides academic, administrative and student support services to the University community and is responsible for a large component of the non-academic domestic and international student experience at JCU. The Directorate plays a pivotal role in relation to the student experience, the ability of the University to meet its enrolment and financial targets and the reputation of the University.

Principal Accountabilities

  1. Provide high quality course enrolment advice to students and other staff using a working knowledge of academic programs, course structures and policy, procedure and rules.
  2. Provide accurate and timely administration of processes relating to student admission, enrolment, advanced standing, progression, course completion and mobility.
  3. Maintain a good working knowledge of the relevant functionality in the Student Management System, Customer Relationship Management system and other relevant systems, to maintain student enrolment and study plans, and to effectively manage enquiries and records
  4. Provide operational level student administration, enrolment and progressions support to JCU partners (JCUB, JCUS).
  5. Communicate and liaise effectively with various internal and external stakeholders in the administration of student enrolments.
  6. Actively contribute to improving systems and proceesses by making recommendations for improvement; and assisting with subsequent implementation as required.
  7. Participate in student related University events, including orientation, open days, enrolment advisory activities and career markets; providing advice to prospective students and actively promoting JCU and the courses on offer.
  8. Provide administrative support, including assisting with review and submission of information for University and external publications such as Course Enrolment Planners, the QTAC Guide, marketing publications, the Ask Us knowledge data base and web pages.
  9. Support the University's commitment to the principles of reconciliation, which exemplify respect for Aboriginal and Torres Strait Islander heritage and the valuing of justice and equity for all Australians.
  10. Demonstrate a commitment to the University values.
  11. Support the principles of the TropEco program and engage in commitment to JCU sustainability goals and objectives.

Generic Accountabilities

There are generic responsibilities that apply to all James Cook University staff.

  1. The Enrolment Officer is required to observe the lawful and reasonable directions, policies and decisions of the University Council, understand and comply with the Enterprise Agreement, the Statutes and Rules of the University, the policies and decisions of the University Council and other appropriate University authorities, as in force from time to time.
  2. The Enrolment Officer is required to demonstrate a personal commitment to ensure personal safety and the safety of others and contribute to the continuous improvement of our WHS performance. This includes the effective implementation and compliance with James Cook University WHS policies, procedures and safe systems of work, together with all relevant legislation, duties and obligations. Contribute to the continuous improvement of our WHS performance.
  3. The Enrolment Officer is required to exercise proper discretion in all matters affecting the well-being of the University which involve public writing or speaking in accordance with the University’s Code of Conduct.

Special Conditions

  • It is a requirement of this position to occasionally travel between JCU locations as business needs require.

Selection Criteria

Selection and appointments will be assessed against selection criteria.

Essential

  1. Degree qualification without subsequent relevant experience, or Diploma qualification and at least 2 years subsequent relevant work experience, or an equivalent combination of relevant experience and/or education and/or training.
  2. Demonstrated experience providing advice across broad topics against legislation and process and procedure, particularly in support of client service and corporate record keeping.
  3. Proven proficiency in the use of standard computer software, including Microsoft Office, with good keyboard skills and demonstrated ability to adapt to the use of new software packages with high attention to detail.
  4. Demonstrated well-developed written and oral communication skills in dealing with people from a variety of backgrounds both internal and external to the organisation.
  5. Demonstrated well-developed organisational and time management skills with the ability to manage own workflow and prioritise to ensure deadlines and targets are met.
  6. Demonstrated excellent customer service skills in managing high numbers of inquiries, utilising problem solving skills to provide information and advice, exercising confidentiality and discretion with respect and integrity.

Desirable

  1. Experience in the tertiary education sector, particularly in a student related role.
