TEDI-London is an innovative new higher education institution in London wholly focused on engineering. It is co-founded by Arizona State University, Kings College London, and UNSW Sydney.

- Establish a new engineering school in London that specialises in creating socially aware and globally focussed engineers with a distinctively strong design and entrepreneurship skillset.

A range of analyses, including the Working Futures 2012-2022 report, and forecasts on the number and type of engineering graduates in the UK by the Higher Education Statistics Agency (HESA), show that the UK will not produce enough engineers to fill expected employment demands by 2022. This shortage in engineering skills is reflected in other major reports including one from Engineering UK, which concludes that the UK will experience annual shortfalls of at least 20,000 engineers. The Royal Academy of Engineering is strongly urging the UK to develop a digitally driven and data-enabled economy. About 8% of engineering undergraduates in the UK are women, and the UK has the lowest percentage of female engineering professionals in the EU.
Market research indicates that positioning engineering in a social context is attractive to non-traditional engineering prospects. The Administrator will deliver an efficient and effective service to the TEDI-London office, including internal and external stakeholders.
The primary aim is the development of a well-managed TEDI-London office, assisting with daily operations and administrative duties.
You will be responsible for setting up meetings and working closely with the Operations & HR Services Manager on room bookings and making available any papers and information necessary to support activities.
Your role will be an integral part of the TEDI-London team and will assist the individual workstreams as necessary, including but not limited to Branding, Student Recruitment and Admissions, Student Support, Quality, Space, HR and Finance.
Key Duties and Responsibilities:
- To develop and manage TEDI- wide office operations and administration including generalist HR and Financial Management services. Administration
- First point of contact for TEDI-London in terms of queries from external and internal contacts .
- Assist in the management of travel arrangements of TEDI-London employees including booking flights and hotels.
- Maintaining office supplies and stationary including ordering mobile phones, IT equipment, cleaning materials as required.
- Ensuring general office environment is kept tidy and presentable at all times.
- Identifying opportunities to develop and improve organisational and office processes, utilising cost effective means including use of technical solutions and delivering efficiencies by removing duplication and streamlining activities wherever possible.
- Minute taking, creation of meeting agendas at boards, committees and project meetings. HR Services
- To assist with recruitment and selection procedures to ensure best practice.
- To ensure that all job descriptions and other paperwork related to onboarding are in place and remain current and accurate.
- To ensure all new employee administration is complete, including new starter paperwork, employment eligibility checks, offer letters and contracts are issued.
- To manage the administration of all personnel records, ensuring that these are complete, accurate and up to date.
- To manage compliance with GDPR/Data Protection Act with respect to the storage of, access to and destruction of data working with the designated DP officer. Financial Management and procurement procedures
- Managing the maintenance of supplier contracts and related filing.
- Liaise with third party contract and service providers as necessary.
- Raising orders, checking goods received and matching invoices prior to payment.
- Maintaining records of outstanding orders.
- Managing expenses processes.
- Experience of servicing committees.
- Previous experience providing administration and day to day office services to a varied stakeholder group. Skills and Knowledge
- Excellent written and spoken English.
- Ability to collate, interpret and present data in a userfriendly way.
- Highly organised and structured approach with a focus on detail, delivery to tight deadlines and able to balance several priorities.
- Flexible and agile in terms of undertaking day to day duties and delivery, recognising TEDI-London is a start up.
- Good working knowledge of Microsoft Office.
- A helpful and positive outlook and attitude to work, collaborating closely with team members.
