Position Focus:

Reporting to the Associate Director of the YSPH Pre Award Team, using considerable latitude for exercising discretion and independent judgement, the Portfolio & Grant Analyst provides direct professional support, management and guidance in the review and administration of grants, contracts, and related funds in an assigned portfolio of department/faculty.

Essential Duties include:

  • Proven ability to advise and guide faculty seeking external funding for research and other sponsored programs through the complex process of proposal preparation and submission. Cultivate and maintain strong working partnerships and effective communications with faculty, Principal Investigators, sponsors, GCA, international collaborators and other key stakeholders. Guide faculty and staff through changes in sponsor requirements.
  • Provide direction, training and assistance to Principal Investigators and department staff in the development of proposals, including but not limited to budgeting, interpretation of sponsor terms and policies and University policies and procedures. Obtain all necessary clearances prior to obtaining authorization for submission. Facilitate an effective transfer of grants and contracts when Principal Investigators leave Yale.
  • Prepare grant/contract proposals and NIH Just-In-Time submissions; consult with appropriate managerial staff on any exceptions to University policy, including indirect rates, etc. Ensure all required information is entered into the appropriate data systems.
  • Review terms and conditions on proposal solicitations and award documents. Collaborate with GCA to negotiate terms as necessary for interdisciplinary, complex and non-standard proposals and partner with GCA to facilitate agreements, including subcontracts, clinical trials and State agreements to ensure conformity with University policies.
  • Analyze and understand complex information from multiple sources including funding opportunity announcements, funding interest matches and submission procedures in order to transmit proposals to GCA. Obtain and communicate information on sponsor electronic research processes and procedures.
  • Keep abreast of laws, regulations, external and internal policies and procedures governing the administration of grants and contracts. Ensure that key personnel are compliant with regulatory, University and other training mandates.
  • Partner with GCA in working with sponsors on matters of proposal submission.
  • May perform other duties as assigned.

Essential Duties

  1. Financial Analysis and Reporting: Present financial information and recommendations thru data analysis and reporting in the development and maintenance of budgets. Identify funding issues and develop appropriate solutions. Review and approve reports for administrative actions including pre-award costs and no-cost extensions. Analyze data and develop complex analytical reports for principal investigators including trend analysis, forecast future financial scenarios, develop long range projections, and variance analyses.
  2. Proposal Development: Develop proposals and budgets for grant and contract submissions; coordinate with partnering institutions. Ensure compliance with sponsor regulations and University policies and procedures. Advise principal investigators of new funding opportunities and requirements.
  3. Portfolio Management: Plan, organize and prioritize actions across multiple awards and investigators' portfolios. Ensure appropriate charging of expenses and integration of data. Advise and counsel principal investigators on financial issues and recommend alternative spending strategies, manage renewals, extensions and closeouts of grants, including final financial reporting to the sponsor. Analyze and negotiate budgets, contracts, and terms and conditions of research proposals.
  4. Compliance and Risk Management: Responsible for providing appropriate guidance on compliance matters during management of portfolio and collaborates with account holders to maintain such compliance. Review, interpret and effectively apply sponsor policies on a variety of topics including cost allowability, budget management and other award management activities to ensure compliance with sponsoring agency requirements and University policies and procedures.
  5. Collaborative Finance Partner & Lead: Provides a high-level of service that maintains strong working relationships by interacting with faculty and internal and external contacts, such as the School of Medicine, Office of Research Administration and granting agencies by managing the internal pre award proposal process and the management of sponsored funding.
  6. May perform other duties as assigned.

Required Education and Experience

Bachelor's degree required. Two years of related financial experience required. Demonstrated application of financial, accounting and economic concepts.

Preferred Education, Experience and Skills:

Knowledge of Yale financial and administrative policies. Familiarity with electronic proposal systems, (IRES). Experience creating complex budgets. Experience working with international collaborators. Prior management experience. Working knowledge of at least one of the following: federal, state and sponsor regulations and guidelines pertaining to contract and grant administration.
