Detailed Description

The Administrative Assistant will play a vital role in the daily operations of Oriam. You will undertake a wide range of administrative and financial tasks which will ensure the efficient running of Oriam.

You will undertake administrative and finance tasks that require attention to detail and accuracy. You should be process focused and able to deliver high quality work to a deadline. You will support the work of the Business Services Manager and will be required to support the admin of all sections of the business.

You will work to support the delivery of our strategic plan and support the work of all sections of the organisation. Oriam promotes inspiration through the achievements and work ethic of its user groups. We require an Administrative Assistant who is prepared to strive for consistently high standards that support this environment.

Key duties and responsibilities

Key tasks 

  1. Providing administrative support for Oriam to ensure the efficient running of the section. This includes responding to all financial  and general Oriam enquiries.  You will provide administrative/financial support to the Business Services Manager.
  2. Assisting with the maintaining of the MRM management information system which operates Oriam’s bookings, memberships and financial processes. Including price increases and maintaining Direct Debit information.
  3. Liaising with internal and external staff, suppliers and group/partners for orders, memberships and financial processes.
  4. Financial duties to support operations. This includes, payroll, placing orders, raising and paying invoices, preparing daily Banking reports, and running Direct Debit (IBACS) payments.
  5. Cover the task of your team members as required to ensure front of house service is prioritised at all times.

Education, qualifications and experience

Qualifications - (E = Essential, D = Desirable)

E - HND in administration, or a relevant discipline or able to demonstrate equivalent knowledge through your professional development.
E - Customer Service Qualification (E or must be obtained within 3 months of appointment).
D - Qualification or training in financial management.
D - Qualification or training in front of house reception service
E - Demonstrate a progressive personal development programme of qualifications/training relevant to your career.
E - Formal qualification in MS Office or able to demonstrate competency (E). Competency of our Plus2 management system is essential or must be obtained within 3 months of appointment.

Experience (E = Essential, D = Desirable)

E - Demonstrable relevant administrative work experience.
E - A proven track-record of delivering exceptional customer service.

E - Competent user of the main IT packages used in commercial environments, in particular Word & Excel, coupled to the ability to quickly learn to use new packages, including Oriam-specific systems.
E - Excellent organisational and administrative skills, with a high attention to accuracy and details (particularly in arranging events).
E - Ability to work as part of a team but equally important is the ability to use initiative and make independent decisions when appropriate.
E - Excellent time management skills with the ability to priorities and adapt to rapidly changing situations.
E - Ability to quickly master new systems and processes and to sustain a high level of performance whilst under pressure.
E - Excellent communication, liaison and interpersonal skills. Confident dealing with internal and external agencies and individuals at all levels
