HWUSU is a student focussed organisation responsible for the University’s sporting needs, sitting beneath Oriam in the University’s hierarchical structure. HWUSU currently offers over 30 sports, as well as a range of other opportunities through volunteering and links in the local community.

The number of sports offered by HWUSU has steadily increased over time, with volunteering, community links, social opportunities and charity work also becoming more prominent parts of HWUSU. The current SU membership sits at just over 1,800, spread across the 30+ sports on offer.
The SU Administrator will be joining our small team, which consists of the Sports Union President and Sports Union Coordinator and supported by the Sports Development Manager.

Job Overview (summary)

The Sports Union Administrator executes administrative tasks including executing and recording financial transactions, completing administrative tasks imperative to the operation of the business and delivery of the SU’s large social events.

Key duties and responsibilities

Key Responsibilities - This section describes what is expected from the role

Finance Administration

Affiliations

  • Manage club and individual affiliations to SGBs, as required.

Coaches

  • Create and disseminate coach contracts and keep records up-to-date.

Equipment

  • Order equipment in line with club equipment plans and coordinate the large equipment fund.

Entries

  • Shared responsibility for team and individual event entries.

Finances

  • Action all SU financial transactions and processes and monitor club finances.

Payroll

  • Execute all actions associated with payroll for coaches and paid staff.

Scholars

  • Action any finance requests and monitor spend against budget.

Operations

Health, Safety & Security

  • Lead on health & safety for SU including club risk assessments, first aid provision and maintain key holder lists.

Insurance

  • Working with the University insurance department, ensure that high value club & SU equipment is insured to the appropriate level.

Kit

  • Complete kit orders as requested by clubs and other SU staff, monitor finances and deal with any issues or complaints, in line with kit policy.

Meetings

  • Coordinate all meetings (Club Forum, Exec, CDM, Club AGMs) including room bookings, communication and, where appropriate, record minutes.

Special Events

  • Coordinate all key SU social events in the year including SU Ceilidh, Ball and Blues & Volunteers.

Education, qualifications and experience

Skills & Experience

E = Essential

  • Experience and competency in finance administration.
  • Experience and competency in event management.
  • Experience and competency with Microsoft Office, Excel and Word.
  • Effective organisational and time management skills.
  • Effective communication skills.
  • Ability to work flexibly and collaboratively as part of a team.
  • Ability in balancing heavy workload.
  • Demonstrate a commitment to personal and organisational improvement.

D = Desirable

  • An understanding of Tertiary Education sport.
  • Educated to degree level.
