The Office of Undergraduate Admission assembles a freshman class of 1,700 students and a transfer class of approximately 25-40 students each year. The Office of Undergraduate Admission (UGA) seeks an Admission Operations Manager who, under the supervision of the Assistant Dean of Admission for Communication and Operations, will oversee the daily operation of the Admission Office and manage the work of three FTEs and one part-time seasonal employee.

Your responsibilities include:

  • Managing people, processes, and programs to implement the goals of the admission operations team. Making hiring decisions, providing coaching and mentoring, and managing performance and staffing levels (e.g., completing required human resources processes; managing the team on credentials processing for the annual admission cycle; attendant query and data processing; Slate operations tasks; Fine Arts portfolio processing; annual Admit packet mailings; and mid–year and final transcript review.
  • Identifying, clarifying, and resolving program issues and concerns with substantial significance in accordance with established policies and procedures which may span multiple areas, using advanced technical and professional knowledge requiring independent judgment. Mediate complex and sensitive issues (e.g., writing, editing, testing and coordinating a team of testers; managing all Common Application, Coalition Application, and all Slate application questions and data from business, legal, and data perspectives; making independent judgments in designing and determining data fields across Common App and Coalition technical/data systems and Slate application data platform; managing application data fields to Slate fields for five applications; updating source formats and mappings annually; monitoring data field accuracy; routinely assessing third party provides of application documents and their integration with Slate; identifying clarifying and resolving issues with third party providers so credentials processing continues efficiently; and navigating the tension between operational efficiency and office policies, a complex relationship that affects admission officers and operations staff).
  • Responding to inquiries regarding university policies and procedures requiring interpretation; providing recommendation for correction (e.g., these may relate to standardized test taking and test score policies and processing procedures; official transcript processing, application updates, letters of recommendation, etc.; processing and adding required documents, correspondence, updates, and more to application fields through the credentials inbox in Slate; writing policy responses to applicants, counselors, and other school officials; and reviewing website language and instructions for application submission and recommending edits, updates, and corrections).
  • Interpreting, implementing and ensuring compliance with university, academic and administrative policies within an organization or program. Recommending new internal policies, guidelines and procedures (e.g., will be accountable for writing and maintaining all guidelines and documentation related to credentials processing, application data source fields, Slate to PeopleSoft data transfer, record consolidation, and mailings; ensuring compliance with the many admission policies related to test taking, test score reporting, test score and transcript processing; recommending new policies and implementing these changes with new guidelines and procedures).
  • Independently making decisions regarding projects and initiatives within confines established by management and representing UGA programs and initiatives to both internal and external constituents (e.g., responsible/accountable for all day-to-day credentials and data processing tasks, data transfer from Slate to PeopleSoft, and all application questions/content, and data integration with Slate; requiring day-to-day independent decision-making regarding how the team will spend their time, what they will prioritize, and planning for upcoming tasks and deadlines given the operational point in the admission cycle; represents the team and its responsibilities, initiatives, and challenges to the Assistant Dean for Communications and Operations and the Director of Admission; representing Stanford and UGA in drafting email templates and responding to external inquiries).
  • Managing the implementation of technology to enhance effectiveness, compliance, and business processes (e.g., seeking out ways to leverage Slate technology to improve the speed and efficiency of credentials and data processing in tasks such as: consolidating records; adding/updating organization records; adding/updating missing or incorrect school codes and dates of attendance; adding/updating missing or incorrect school data (GPA, class rank, class size). Will also manage Slate enhancements to the credentials@stanford.edu inbox).

In addition, requirements include:

Bachelor’s degree and five years of relevant experience, or combination of education and relevant experience. Experience in higher education setting preferred.
