We have an exciting opportunity to join our Service Desk as a Service Desk Administrator, based in our Sighthill campus on a full time, permanent basis.

The Property & Facilities Team delivers a first class service to over 1,500 staff and nearly 19,000 students. The department's focus is on managing the University's key facilities, including estates and buildings, energy and sustainability, security, cleaning, logistics, print service, sports centre, catering services, conference management and student accommodation. This is an exciting opportunity to work as part of a team who are at the heart of the university.

The role

We are looking for someone to provide a professional proactive first line of contact both internally and externally. As a Service Desk Administrator you will work closely across departments with a degree of flexibility in your approach to ensure you operate in a customer focussed way to deliver an efficient and reliable service to the University.

This role is key in recording faults or maintenance issues reported by staff and students using the Planon facilities management system which leads on to the allocation of work to contractors or internal maintenance teams.

You will support with financial matters for the Property and Facility department raising and receipting purchase orders alongside web requisitions ensuring ESI processes are undertaken in line with procurement regulations.

You will manage the room booking system, managing customer requests, facilitating room moves and providing administrative support to the Property and Facilities Department.

Who we are looking for

We are looking for someone who has extensive administrative experience in a busy office environment, using a service desk system, ideally this will have been in a facilities management and estates sector. Experience of systems such as Agresso and procurement systems would be advantageous while being able to prioritise your own workload and be comfortable using a systematic approach to problem solving.

Applicants must demonstrate:

  • Excellent oral, listening and written communication skills to enable effective communication  
  • Evidence a customer focused approach to all interactions with Students, Staff and Visitors
  • Proficient use of Microsoft products

Salary: Grade 3 - GBP 21,814 - GBP 25,941 per annum
