The Stanford Cancer Institute (SCI) is one of only 51 National Cancer Institute (NCI)-designated Comprehensive Cancer Centers in the country. As a NCI-designated Comprehensive Cancer Center the SCI is a dynamic and stimulating place to work as it maintains the highest level of scientific rigor, institutional support and coordination for the complete range of cancer-related research, including basic, translational, clinical and population-based science. The SCI brings together faculty with cancer-relevant expertise from four Schools and over 30 departments throughout the University. The Cancer Clinical Trials Office (CCTO) is an integral component of the Stanford Cancer Institute since the vital work performed there enables our cancer center to translate research from the laboratory into the clinical setting. Given the SCI’s mission, breadth, and depth it employs ~275 staff members (inclusive of the CCTO) in a fast-paced environment with tremendous opportunities.

The SCI-CCTO is seeking an early careerist to assume the role of Human Resources Assistant. Our ideal candidate will have a strong combination of interpersonal, organizational, customer service, and communication skills. The HR Assistant will provide administrative and operational HR and admin support working under general supervision of the HR team, including the HR Manager.

This position will be critical to day-to-day operations including but not limited to:

  1. assist with onboarding and compliance training appointments for newly hired staff and temporary staff
  2. ensure confidential personnel files are accurately updated and maintained;
  3. provide administrative support for recruitments, tracking and updating disposition data of applicant pools; and more. The HR Assistant may handle confidential and sensitive information, requiting tact and diplomacy.

Duties include:

  • Respond to HR inquiries and determine appropriate action to be taken. Serve as a general resource regarding a defined set of policies and procedures.
  • Perform duties associated with scheduling and organizing onboarding/compliance training appointments. Will be expected to organize and operate conferences and/or events, including identifying vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
  • Generate routine communications, including drafting, editing, formatting, and disseminating documents, as needed (e.g. presentation materials, reports, etc.
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Maintain approved content on websites, as needed.
  • Perform human resources transactional support (e.g. time cards, I9s, faculty affairs support, etc.).

DESIRED QUALIFICATIONS:

  • Bachelor’s degree in business, human resources, sociology, psychology or other related field.
  • Ability to work in a fast-paced and confidential work environment.
  • Demonstrated ability to quickly learn and retain new processes and policies.
  • Curious innovator willing to identify and implement process improvement efforts within a team-based and customer-focused environment.

EDUCATION & EXPERIENCE (REQUIRED):

High school diploma and three years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.

CERTIFICATIONS & LICENSES:

Demonstrated interest in pursuing and achieving professional HR certification with 2 – 3 years upon hire.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
