Job Summary

Under direct supervision by the Catering Manager, the Catering Administrator is responsible for catering sales support and providing excellent customer service for Caltech Dining Services.

Job Duties

  • Provide catering sales support for Caltech Dining Services, as directed by the Catering and Office Manager and in collaboration with the Office and Billing Administrator
  • Catering duties: input events into CDS catering system – event information provided by management; assist with clerical work in department – customer/vendor correspondence, event schedules, special projects, and function sheets; maintain existing catering clients
  • General administrative duties: answer phones; provide customer service; direct calls; take messages; monitor emails and distribute to appropriate manager(s)
  • Communications: meet daily with Catering and Office Manager to review daily catering events and recap past events; communicate with Executive Chef and Chef de Cuisine any catering menu/event changes and culinary-related issues; answer questions from the catering coordinators regarding event specifics; maintain departmental hub, ensuring that CDS staff communications, third-party staff, clients, and CDS guests are routed appropriately
  • Customer service: greet and direct all visitors in a pleasant manner; maintain professional demeanor in difficult situations; follow up with catering customers to seek feedback
  • Organization: maintain office and conference room organization/cleanliness

Basic Qualifications

  • Ability to thoughtfully communicate verbally and in writing
  • Strong experience in hospitality, food service, or customer service
  • Computer skills, particularly with Microsoft Office applications
  • Professional demeanor and appearance
  • Ability to work in fast paced environment
  • Have or obtain ServSafe certification (or comparable California Food Handler’s certification)
  • Ability to lift 50 pounds

Preferred Qualifications

  • Experience in university food service
  • Knowledge of and interest in food
  • Experience in event planning
