VPUE is seeking an experienced calendar and administrative professional. This instrumental role provides support to the associate vice provost and the associate vice provost for finance and administration within the Senior Management Team. As a member of the executive support team, the administrative associate will be a key partner in ensuring that the executive office runs smoothly and efficiently.

Your responsibilities will include:

  • Managing the complex calendars and resolving all related conflicts for two of VPUE’s senior leaders – the associate vice provost and the associate vice provost for finance and administration.
  • Overseeing, organizing, and operating the logistics for governing boards and standing/ad hoc committees as well as complex events, including arrangements with vendors, overseeing the production and distribution of materials, administering logistics, and taking and producing meeting minutes.
  • Processing a variety of complex financial transactions, including travel reimbursements, purchase orders, and cash advances.
  • Acting as a first point of contact for the Senior Management Team in order to respond to general inquiries and determine appropriate action as required.

To be successful in this position, you should have:

  • High school diploma and four years of administrative experience, or combination of education and relevant experience.
  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Demonstrated success in independently managing complex calendars and project timelines.
  • Excellent organizational skills and attention to detail.
  • Demonstrated success in following through and completing projects.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.

In addition, preferred requirements include:

  • The ability to prioritize and multi-task while being flexible and adapting to constant change.
