ADMINISTRATIVE ASSISTANT 2, Technology Licensing Office (TLO), to provide day-to-day secretarial and administrative support to six licensing officers. Will schedule meetings and maintain calendars; manage complex travel plans and process reimbursements for staff trips; act as a liaison between inventors, licensees, and licensing officers; and prepare and disseminate information to new inventors. Will also support the licensing staff with basic administrative tasks associated with the compilation, proofreading, and formatting of licensing agreements, options, nondisclosure agreements, amendments, and other agreements and other correspondence; prepare ad-hoc reports as requested by licensing staff; coordinate agendas for visitors, including logistics and travel arrangements, and provide summary information of these visits for the director or communications officer; manage the license agreement termination process; and enter nondisclosure agreements in TLO database.
REQUIRED: a high school diploma or its equivalent; three years’ secretarial, office, or related experience; excellent interpersonal, communication, secretarial, and organizational skills; attention to detail; flexibility; high-level proficiency with Microsoft Word, PowerPoint, Excel, and Outlook; and willingness to take on new projects and learn new skills as needed. Must be able to prioritize projects; work both independently and in a team setting; anticipate and initiate actions; ensure follow-though in the patenting, marketing and licensing of Institute inventions; and meet the demands of multiple staff requests concurrently.
