HAYDEN RENOVATION ADMINISTRATIVE ASSISTANT, MIT Libraries, to provide direct, high-level administrative support to the Hayden Renovation Project.  Responsibilities include attending all renovation-related meetings, taking meticulous notes, documenting and recording decisions, handling record-keeping and meeting and event logistics (room reservations, food, audiovisual, etc.); completing special projects and event planning; providing move support to Libraries staff; providing comprehensive calendar management; arranging phone calls/WebEx meetings, travel, and performing similar administrative support functions for the team; acting as primary point of contact for team members; coordinating facilities, equipment, space, and access needs; liaising with vendors; managing administrative systems related to project expenses and purchasing; and other duties as required.  May assist with preparation of materials for meetings and presentations, edit and/or draft documents, assist with document layout/graphics, and perform information searched.

Job Requirements

REQUIRED:  at least three years’ direct/related experience, advanced-level proficiency with Windows, Google software (Docs, Sheets, etc.) and Microsoft Office (Word, Excel, PowerPoint, Outlook, comfort learning additional programs/systems, keen attention to detail, and punctuality.  Must be able to analyze and solve problems; bring tasks/projects to full completion; exercise independent judgment and discretion; work and communicate effectively with a diverse group of people; and manage competing priorities in a dynamic, fast-paced environment.  Experience with MIT/MIT Libraries tools (e.g., Atlas, Concur, SAP, CMSs, wiki management, Visio, Adobe Creative Suite, and Asana) and work experience in an academic environment/research library desirable.  MIT experience a plus; as is experience with renovation, construction, or project management.  Exposure to project management techniques/tools beneficial.  Position will involve lifting weights of up to twenty-five pounds and traveling between points on campus.  Job #17722-5
 
Rate of pay:  $19.88/hr minimum, with actual hourly rate based upon qualifications and experience.

Thirty-five hour a week schedule to be determined between the hours of 8:00 A.M. to 6:00 P.M.

This is a temporary, eighteen-month position.
