Detailed Description

This post reports to and provides comprehensive and confidential project, research and administrative support to our Executive Dean, Professor Heather McGregor. Professor McGregor is a high profile business leader with a global presence and has a demanding list of well-known and high profile contacts. Heather has wide ranging business interests and external appointments, in addition to her role with Edinburgh Business School. You need to be a driven, confident and ambitious individual with a ‘can-do’ attitude, looking for your first step in business. The role requires you to provide administrative support to the Executive Dean.

This role requires excellent organisational skills ensuring Professor McGregor. While, initially, the role will be supporting the Executive Dean, the role holder may also be required to provide executive support to other members of the executive team and therefore you must be a confident communicator that is also a champion juggler of priorities.

Key duties and responsibilities

  1. In conjunction with the Executive Assistant, provide a full range of confidential administrative support to the Executive Dean of Edinburgh Business School, and ensure she is appraised of key issues.
  2. Provide diary management support to the Executive Dean, anticipating diary clashes and responding to sudden changes to appointments. Work out travel requirements and deal with changes that occur. Provide full support for overseas travel, drawing up itineraries and dealing with changes. Prepare background information and bios on relevant contacts, as required.
  3. Contribute to projects as well as help to organise internal and external events when required. Engagement with multiple stakeholders, internally and externally, using judgement, discretion and sensitivity at all times.
  4. Follow up actions for the Executive Dean, dealing appropriately with all actions, prioritising as appropriate. This requires the post-holder to be aware of School’s priorities and pressures, and be sensitive to the management and strategic direction of the School.
  5. As required, carry out of background research and analysis, presenting data documentation and creating presentations for the Executive Dean normally on Power point.
  6. Manage conflicting priorities of equal importance using judgement and negotiating skills.
  7. In conjunction with the Executive Assistant draft letters and manage emails on behalf of the Executive Dean ensuring that all correspondence is prioritised and managed appropriately.
  8. Continuously review, develop, adapt and maintain all procedures and duties specific to the role ensuring they are fit for purpose.
  9. Undertake administrative office functions devising and maintaining office systems, data management and related processes to a high level of efficiency, to support the Executive Dean.
