Associate Director of Finance and Administration
A very exciting opportunity is available for a multi-faceted diverse position as Associate Director of Finance and Administration serving the Department of Health Research and Policy and the Population Health Sciences unit. Working with the Executive Director of Finance and Administration this position will expose you to many different areas of running a large multi-divisional unit as well as a Basic Science Department. We are seeking an Academic Operations Manager 2 to provide strong financial analysis and reporting, management and coordination of administrative and operations-related functions with substantial impact within these units. Manage staff to achieve the research and teaching mission, goals and objectives of the unit.
- Direct staff and provide leadership to achieve goals and vision of the organization and the day-to-day operations. Responsible for hiring and retaining staff, career coaching, personal development for direct reports and accountable for the performance of employees.
- Develop and manage complex budgets and forecasting scenarios for the PI’s of HRP and PHS as well as the general department accounts. Oversee all faculty grants and portfolios. Manage budget preperations for new sponsored projects; subawards and subcontracts set-ups. Analyze financial data across all department funding types identifying trends and discrepancies. Use advanced excel skills to provide reporting and analysis
- May independently or in collaboration with human resources managers, guide faculty supervisors in the interpretation and implementation of human resources policies, procedures and programs.
- Manage through others all day to day operations of multiple units and one academic department. Exhibit and lead Lean principles and practices.
- Develop business plans and infrastructure to support research and teaching. Provide analysis and review of multi-year plans, including providing alternative methods for achieving goals when necessary. Influence leadership on specific recommendations for current operation and for future development of the organization and lead process improvement.
- Interpret, implement and ensure compliance with university academic and administrative policies and procedures within an operating unit. Recommend new internal policies, guidelines and procedures.
- Manage and coordinate grants and contracts for the department. Ensure compliance with institutional and external requirements.
- Manage the day to day operations of the units/department including HR, Facilities, Compliance, Grant Management, Budgeting, Financials, Space Management, Personnel Management

- Proactive, detail-oriented self-starter with extensive prior Stanford University (SOM) grants management (NIH, CIRM, DOD, AHA, MDA, fellowships, etc.) experience.
- Desire minimum of 5 years to 10 years relevant experience.
- Advanced Excel skills.
- Prior extensive management experience desired.
EDUCATION & EXPERIENCE (REQUIRED):
Bachelor's degree and five years of relevant experience in administrative and financial management, or combination of education and relevant experience.
