Permanent, full time.  Occasional evening work will be required with time off in lieu.

We are seeking a highly motivated, organised individual with an interest in the legal profession to provide administrative support and to help develop the Law School’s Pro Bono Centre.

Your duties will include, but are not limited to, the following:

Front of House Responsibilities:

  • To be the first point of contact for both pro bono and careers and answer face-to-face queries from students, employers, staff, clients and supervisors that do not require input from qualified staff
  • To book and manage appointment for students and clients for pro bono
  • To keep the pro bono area organised and fully stocked with leaflets and brochures on display
  • To ensure the telephones, computers and printers in the pro bono and careers areas are all working efficiently and report any problems to the appropriate departments
  • To provide photocopying and other assistance to students and staff and keep stationery properly stocked

Administrative duties for Pro Bono:

  • To provide administrative support for the Pro Bono Centre staff and BPP Legal Advice Clinic (BLAC)
  • To check the pro bono email account and the BLAC email account (the latter if the Trainee Solicitor is away) and answer queries where possible and respond to students within 48 hours
  • To book and manage the team’s appointment bookings with students
  • To manage the pro bono contacts database including checking Action Logs for details
  • To add events to the pro bono calendar
  • To prepare materials for pro bono events, including presentations
  • To provide administrative support for workshops and events such as Freshers fairs and open days
  • To make room bookings for training sessions, meetings and order refreshments where required
  • To develop and maintain the Pro Bono Centre VLE/Moodle site daily
  • To update the pro bono pages on the intranet monthly
  • To check the pro bono website pages are up to date monthly
  • To take and distribute minutes at national and team meetings for pro bono
  • To maintain the pro bono section on the shared drive and ensure that folders are clearly organised and appropriately archived
  • To assist staff and students with projects including managing mail, photocopying, and distribution of leaflets
  • To regularly email students with notifications of events, vacancies and opportunities and put on social media, VLE and in hard copy 
  • To check pro bono Facebook every day and respond to student queries (or refer to supervisor if needed)
  • To advise students on how to participate in pro bono activities and which projects are currently available. To assist students with registration where appropriate
  • To maintain national list of Student Directors and save their signed contracts
  • To work closely with each project’s Student Directors to ensure the smooth running of projects
  • To stay current on all project developments
  • To keep regional team members informed of developments and help with their administration
  • To be creative in terms of fundraising initiatives and manage the Fundraising Student Directors
  • To undertake any other duties appropriate to the post as directed by pro bono managers and directors

Responsible to:

Joint Directors of Pro Bono & CSR (Law School) with some day to day activities allocated by other pro bono team members

Desirable:

  • Ideally educated to degree-level, however applications from candidates with appropriate and relevant work experience or other equivalent qualifications will also be considered.
  • Experience of working in Higher Education
