The Stanford University Department of Athletics, Physical Education and Recreation is currently accepting applications for the position of Coordinator, Varsity Facilities. This position is responsible for the overall management of Arrillaga Family Sports Center (AFSC) and Arrillaga Hall as well as tasks assigned throughout Varsity facilities and other administrative duties. Reporting to the Assistant Director, Facilities, this position is essential to the operation of our administrative buildings as well as in assisting all Varsity facilities throughout DAPER.

YOUR RESPONSIBILITIES INCLUDE:

  • Efficiently manage AFSC and Arrillaga Hall
  • Act as lead contact for all facility needs.
  • Coordinate repairs and day-to-day maintenance.
  • Conduct regular inspections and inventory logs of the buildings.
  • Assist in the creation and management of a sound budget.
  • Become fluent within card reader and surveillance camera systems for building security.
  • Utilize and oversee conference room scheduling software.
  • Work directly with University representatives of IT, Sustainability, and University Facilities on related items.
  • Collaborate with Home of Champions Manager to ensure smoother operation of HOC.
  • Successfully establish efficient routines and protocols within the newly built Arrillaga Hall
  • Develop best practices and preventative maintenance plans.
  • Create facilities operations onbarding.
  • Coordinate needs with rowing programs & BeWell staff group.
  • Work directly with Boathouse Manager on related items.
  • Collaborate with Risk Management to create & implement an emergency response and evacuation plan.
  • Complete administrative tasks imperative to the operation of DAPER
  • Support Facilities team in coordinating Surplus recycling and asset management.
  • Ensure efficiency of ancillary equipment amongst facilities.
  • Manage and oversee staff luxuries including but not limited to locker rooms, break areas, copy room, shipping supplies and stationary.
  • Other duties as assigned.

TO BE SUCCESSFUL IN THIS ROLE, YOU WILL BRING:

  • Bachelor’s Degree and five years related, demonstrated management experience, or a combination of education and relevant experience is required.
  • Ability to coordinate daily activities including work scheduling, quality assurance, program validation, monitoring of maintenance activities, and supervision of personnel.
  • Demonstrated experience working with subcontractors/vendors and ability to monitor project activities while ensuring compliance with internal/external regulators.
  • Experience analyzing and interpreting policies.
  • Knowledge of environmental and safety rules, regulations and policies.
  • Excellent interpersonal skills with the ability to communicate with a wide range of individuals and staff at all levels.
  • Work cohesively with Facilities team in joint tasks and projects.
  • Ability to exercise good judgement and decision making in dealing with pressures and demands of the collegiate athletics environment.

Required Certifications and Licenses:

Valid California Non-Commercial Class Driver’s License.

Working Conditions:

Requires 24-hour response availability seven days per week for emergency situations.
