The Stanford Medicine WellMD Center seeks a pioneering and experienced program manager for the Physician Wellness Academic Consortium (PWAC), a consortium of academic and academic-affiliated medical centers. The WellMD Center is an innovative and nationally-recognized program with a mission to advance the well-being of physicians and those they serve. This program leader, reporting to the Center’s Executive Director, will work alongside WellMD leadership, Stanford faculty, the PWAC Administrative Board, and the PWAC Scientific Board to chart the direction and drive the operations, growth, and sustainability of this newly formed consortium. This is an exciting opportunity to work with leaders from premier academic centers across the country and to be on the forefront of program evaluation and research that is shaping the emerging field of physician well-being.
As the administrative leader, this individual will lead the planning and operations for the PWAC in a manner that fosters the mission and impact of the consortium and the satisfaction and retention of its members. This position requires an individual with the initiative to recognize and meet new challenges and opportunities. As a new consortium launching in July 2019, this role will be instrumental in establishing, evaluating, and refining functions, policies, and procedures for the administration of the consortium along with its two Boards. The consortium anticipates significant growth in the first two years, which will require nimble stewardship, keen evaluation, and systems-thinking, coupled with a flexible and entrepreneurial approach and a customer orientation.
Successful program managers will be savvy in developing and navigating relationships across multiple organizations; adept at working with physicians, faculty and vendors; experienced with academic program evaluation, research, and publications; exceptionally organized; highly motivated; and capable of working independently. They will have solid business skills, a track record of sound decision-making, an inquisitive mind and an eye for excellence. Above all, they will be able to engage with world renowned faculty and interact effectively with a wide range of diverse individuals at many levels, developing lasting relationships both internally and externally.
Specific duties include:
- Establish, evaluate, and refine priorities, programs, functions, policies, and procedures for the administration of the consortium, in partnership with PWAC’s Administrative and Scientific Boards.
- Partner with the Chair of the Scientific Committee in developing the agendas and content for monthly conference calls and two full-day, in-person meetings for the Consortium and the Scientific Board. Manage the logistics for the in-person meetings.
- Communicate clearly and effectively with WellMD Team, Consortium members, and Boards using multiple channels to foster engagement, enthusiasm, knowledge-sharing, value, and trust.
- Develop thorough understanding of physician well-being surveys, benchmarks, and research projects to aid in discussions with Consortium members, Administrative Board, Scientific Board, and WellMD team.
- Track proposed and approved research projects and the publications they generate for the Scientific Board.
- Direct and oversee the relationship with a third-party survey administrator, which provides core services to the Consortium. Negotiate any contractual elements and oversee payment for services.
- Analyze and interpret data on utilization of vendor services and develop recommendations for Chair of Scientific Board and/or the Administrative Board on modifications to survey administration utilization.
Member Recruitment and Retention
- Serve as the administrative lead in collaborating with Consortium members, including contracting, finances, operations, vendor requests, reporting, and communication.
- Collect, analyze, and interpret trends on participation from member institutions. Explore and recommend alternative approaches to increase participation amongst members, such as meeting formats and communication platforms.
- Manage outreach to potential new members of the consortium, including interacting with senior physician and staff leaders from Stanford Medicine’s peer institutions. Foster relationships between prospect institutions and WellMD and appropriately manage expectations about membership. Lead the contracting process and ensure ongoing compliance with contract terms and membership fees.
- Develop recommendations for managing the demand from organizations interested in joining the Consortium.
- Craft and implement plans to engage existing Consortium members to sustain long-term participation and membership.
Finance and Operations
- Develop and oversee annual budget for presentation to the Stanford WellMD Leadership and PWAC Administrative Board. Ensure the program operates in a self-sustaining manner. Forecast annual expenses and consortium membership. Recommend amount of annual membership fees in accordance with forecasted expenses.
- Administer dedicated account and manage expenses throughout fiscal year in order to operate as financially independent program. Prepare regular budget updates for WellMD Leadership and PWAC Administrative Board.
- Collect membership fees from all contracted members.
- Research and select an appropriate communication platform to serve the needs of the Consortium.
- Regularly create reports and recommendations for the Administrative Board.
- Partner with Stanford legal counsel regarding contracting needs.

- Five years administrative experience in the context of an academic medical institution.
- Experience managing vendors and contracts.
- Experience in physician well-being or interest in developing expertise.
- Experience working with associations, societies, committees, or boards representing multiple organizations.
- Understanding of healthcare program evaluation.
- Familiarity with research proposals and academic publications.
- Entrepreneurial, creative and innovative spirit; comfort with change, ambiguity, and institutional evolution in a fast-paced environment.
EDUCATION & EXPERIENCE (REQUIRED):
Bachelor's degree and five years of relevant experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
- Program management experience involving physicians and healthcare organizations
- Demonstrated ability to take initiative and ownership of projects.
- Demonstrated excellent planning and organizational skills.
- Demonstrated creativity, problem solving, critical analysis skills. Ability to routinely and independently exercise sound judgment in making decisions and in interacting with constituencies (internal and external).
- Excellent interpersonal, written and oral communication skills. Experience presenting to diverse audiences.
- Keen attention to details, commitment to accuracy and integrity of all data, reports and communications.
- Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness. A high degree of social facility in obtaining cooperation and support from a broad range of faculty, staff and individuals at all levels both within and outside the institution.
- Demonstrated ability to manage a program budget and develop and meet budget goals.
- Demonstrated experience working independently and as part of a team.
- Strong relevant subject matter knowledge.
- Proficient in use of Microsoft Office Suite products including Word, Excel, PowerPoint and Outlook.
- Computer knowledge and proficiency (Mac/PC).
- Constantly perform desk-based computer tasks.
- Frequently stand/walk, sitting, grasp lightly/fine manipulation.
- Occasionally use a telephone.
- Rarely lift/carry/push/pull objects that weigh 11-20 pounds.
