As a publisher developing teaching and learning resources, we require people with strong academic backgrounds and good communication skills.

The Production Controller works closely with a number of key stakeholders around the business including Heads of Programme, Sales and Operations to ensure projected volumes of print meet the demands of our classrooms and external students.

PRINCIPAL JOB ELEMENTS AND RESPONSIBILITIES:

  • To assist in the planning and managing of the schedule of work
  • To act as the main print contact for specified ranges
  • To assist reprint production
  • To assist with the co-ordination of ad-hoc production projects as required by the Head of Production
  • To assist with print volume setting for courses and published products
  • To update internal customers about delivery times of work
  • To maintain the internal tracking systems
  • Administration of invoices (checking and processing)
  • Managing multiple projects to schedule and to the quality expected
  • Liaising with internal and external stakeholders during all phases of the production cycle
  • Co-ordinate the external print vendors

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

  • Assisting the Head of Production in the planning and managing of allocated schedule of work, including:
    • Updating production records such as ET (access database) to ensure information is accurate
    • Updating the tracking systems for all items gone to print, and delivered, to enable personnel to access and handle enquiries efficiently and effectively
    • Being aware of materials which are delayed and notifying relevant parties whilst maintaining contact with printers regarding necessary delivery dates to meet deadlines
  • To act as the main print contact for specific and assigned ranges as well as the placement of reprint orders, including:
    • Collating regional quantities for all courses products; comparing quantities against the budget for submission to the Head of Production
    • Preparing print order forms, based on agreed quantities
    • Negotiating lead-times on non-schedule print jobs
    • Maintaining contact with printers and being aware of delays, whilst managing communication to all dependent stakeholders
    • Checking invoices against deliveries and agreed print costs
    • Liaising with appropriate personnel regarding any errata required
  • To assist with print volume setting for courses and published products, including:
    • Collation of information from internal system reports on past sales
    • Obtaining information from marketing about expected future sales
  • Administration of invoices to ensure accuracy and prompt payment
  • Responding to ad-hoc print related queries
  • Familiarisation of product ranges and understand product specifications to deliver product effectively
  • Any other tasks as requested

SKILLS, KNOWLEDGE, QUALIFICATIONS REQUIRED FOR JOB

  • Self-motivated with the ability to prioritise and manage a variety of tasks
  • Attention to detail and a desire to “get it right first time”
  • Ability to work with Microsoft Word and Excel to an Intermediate standard
  • Ability to work speedily and accurately to ensure that deadlines are met
  • Adaptable to change, effectively open to new processes, willingness and ability to learn
  • Able to manage supplier relationships and negotiate with suppliers to ensure the best results
  • Excellent communication skills
  • Able to self-manage when working in a demanding environment during peak publishing cycles
  • An understanding of the BPP ranges would be beneficial but not essential (full training will be provided)
  • Concentration, accuracy and an eye for detail
  • Ability to approach work methodically
  • Ability to work to tight deadlines and good time management
