ADMINISTRATIVE ASSISTANT 2, Office of the Provost, to act as the first point of contact for the Provost's Office in a service-oriented position.  Responsibilities will include greeting visitors; providing coverage for the reception area; coordinating with the provost’s senior administrative assistant in responding to inquiries and requests for time with the provost; coordinating schedules and appointments across shared calendars; assisting with correspondence, reports, committee obligations, and meetings; arranging domestic and international travel; coordinating campus visits for guests; opening and logging all incoming mail for the provost; composing, editing, and proofreading correspondence and documents; coordinating with provost’s senior administrative assistant to research, prepare, assemble, and disseminate briefing materials in advance of meetings and conference calls; assisting with planning and providing logistical support (space, A/V, catering) for events including luncheons, conferences, and intra-office gatherings; handling filing and filing systems for the office; maintaining databases; processing credit card purchases, expense reports and reimbursements; and performing other duties as needed.

Job Requirements

REQUIRED: at least three years of administrative support experience; excellent customer service, communication, and interpersonal skills; and ability to work effectively with a broad range of faculty, staff, and leadership at all levels internal and external to MIT. Seek a highly-organized individual who is able to maintain a high degree of accuracy while prioritizing competing demands and adhering to tight deadlines. Must possess initiative, the ability to work independently and with others in handling sensitive and confidential matters, and be highly proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint), MIT experience would be helpful, as would the ability and willingness to learn new software and applications.
