ADMINISTRATIVE ASSISTANT 3, Mechanical Engineering (MechE), to coordinate support staff training and operational onboarding for administrative assistants and provide complex and diverse support for professors. Will mentor, onboard, and train new assistants in all aspects of support responsibilities; train other support staff on a variety of responsibilities required of the role, advise of best practices, and direct them to online trainings as appropriate; administer MechE annual support staff needs assessment; plan, execute, and facilitate monthly training program sessions, and retreats; ensure development and delivery of all training materials and presentations related to best practices for MechE administrative assistants; use web software to input, update, and maintain web content; schedule diverse and complex appointments, meetings, and domestic and international travel arrangements; monitor and order supplies and equipment, select vendors, and use signature and purchasing authorization; and process journal vouchers and travel reimbursements using Concur.

Job Requirements

REQUIRED: high school diploma or its equivalent; at least five years’ administration, operations, or project/program management experience; proficiency with MIT systems including Concur, SAP, B2P, Wikis, and other enterprise systems; ability to manage a wide variety of duties; ability to learn quickly and work with critical time demands; experience as a trainer and mentor; excellent organizational and interpersonal skills; ability to easily negotiate conflict with diplomacy and tact; attention to detail; accountability; flexibility and openness to developing and executing novel ideas; and ability to plan, execute, lead, and influence decisions and drive consensus when issues are complex.
