SENIOR ADMINISTRATIVE ASSISTANTFacilities-Campus Services, to perform diverse office management duties and provide advanced administrative support to the director.  Will manage the director’s calendar; schedule and prepare material and arrange logistics for meetings; make travel arrangements; monitor and order inventory; compose and edit correspondence and documents; and gather information for and design presentations, reports, and databases; resolve complex problems, analyzing and interpreting varying situations; anticipate and initiate actions to ensure successful office operations; respond to inquiries; deal with confidential issues using discretion and judgment; work effectively and collegially with colleagues, clients, and community members; deliver information to department employees and other internal and external constituencies; collaborate on oversight of office management functions; help determine departmental procedures and processes; develop, monitor, and reconcile budgets; organize and assist in general preparation for external agency and sponsor visits; attend high-level meetings; record, interpret, draft, and distribute minutes; create and update manuals and procedures; and perform related duties as requested.

Job Requirements

REQUIRED: a high school diploma or its equivalent; at least five years’ administrative, office, or related experience; thorough understanding of own work and ability to recognize the needs of the unit and how it impacts other areas at MIT and an understanding of the role relative to all areas; advanced and varied computer software skills; ability to easily negotiate the web and perform complex searches; and excellent interpersonal, verbal, and written communication skills.
