Primary Function of Organizational Unit

The mission of the Office of Scholarships and Financial Aid is to deliver a quality, affordable education to all students, regardless of their financial circumstances. The office administers a comprehensive array of programs (need and merit-based) to more than 23,000 undergraduate, graduate, and professional students annually, committing and disbursing in excess of almost $300 million per year.

Essential Job Duties

Assistant Directors are responsible for the major programmatic functions in the Office of Scholarships and Financial Aid, and also responsible for counseling a financial aid populations of approximately 2,800 students each. The Office of Scholarships and Financial Aid administers a comprehensive array of programs (need and merit-based) to more than 23,000 undergraduate, graduate and professional students annually, committing and disbursing in excess of almost $300 million per year.

This position will work primarily with the scholarship programs with the following general responsibilities:

  • Responsible for the selection, notification, renewal and account/budget management of scholarship programs through Blackbaud Award Management platform, including, but not limited to, programs with the NC State Foundation, the Endowment Fund, the Alumni Association, the Chancellor’s Leadership Scholarship, the NC State Education Assistance Authority grant and scholarship programs, non-NC State grant and scholarship programs, and other annual contributions of scholarships. Each of these funds have their own unique scholarship criteria and management process with a total volume of over three million dollars.
  • Responsible for processing of college/departmental awarded scholarships through Blackbaud Award Management platform, including, but not limited to, establishing new financial aid accounts, posting and revising financial aid awards, generating reports, and providing need data to departmental contacts. Each of these funds have their own unique scholarship criteria and management process with a total volume of over eight million dollars.
  • Responsible for the processing of outside scholarship funds including, but not limited to, paper checks, electronic fund transfers, posting and revising financial aid awards, and providing invoices and verification of enrollment to scholarship donors. Each of these funds have their own unique scholarship criteria and management process with a total volume of over five million dollars.

In addition, this position will carry out the following general responsibilities consistent with other Assistant Directors in the office:

  • Determining students’ eligibility for financial aid and making commitments of financial resources
  • Supervising staff (in some cases)
  • Counseling students and their families on special situations which hamper their ability to finance their education at the University
  • Developing and conducting programs designed to educate students and parents about the financial aid process and loan repayment
  • Acting as a liaison to many University Offices, educating them on financial aid policies and procedures that affect student aid programs, as well as helping to crate new policies and programs
  • Serving on University Committees (e.g., Scholarships and Student Aid, Athletics Compliance) to inform campus policy development
  • Assistant Directors hold similar job duties in that they all provide counseling to a section of the student population and maintain primary responsibility for the management of a specific program(s). The specific programs Assistant Directors manage can include one or more of the following: scholarship administration and processing; graduate benefits; Federal Work Study Program; student loan processing; athletic awards; College of Veterinary Medicine; Student Exchange; consortium agreements; Co-operative Exchange Program; resident assistants; veterans benefits; non-degree students; third party sponsorships; dependency overrides; ISIR load processing; community outreach; and return of Title IV funds.

Minimum Education/Experience

Requires possession of post baccalaureate credentials or equivalent independent experience in comparable instructional or educational activities

Departmental Required Skills

A minimum of three years of relevant experience in scholarship and/or financial aid programs; (2) thorough knowledge of administering rules and regulations governing state and federal student aid programs; (3) exceptional written and oral communication skills, along with demonstrated leadership and counseling skills; (4) strong interpersonal and customer service skills.

Preferred Experience, Skills, Training/Education

  • Master’s degree strongly preferred
  • Blackbaud (Academic Works) Scholarship platform experience highly preferred.
