Position Overview

The Clinical Training Support Officer coordinates student placements in clinical settings under the direction of the Team Leader, Townsville Clinical School and works closely with the academics and clinicians who teach and supervise the students. The incumbent provides support to administrative and academic staff in Townsville and other College of Medicine and Dentistry locations and liaises with external organisations and clinicians to support clinical training arrangements to contribute to the efficient running of the Townsville Clinical School.

As part of the Division of Tropical Health and Medicine the College of Medicine and Dentistry promotes, fosters, supports and administers quality teaching and research at JCU in the areas of Medicine, Dentistry and Pharmacy, with a focus on the needs of rural, remote and underserved communities, tropical medicine and the health of Aboriginal peoples and Torres Strait Islanders. Working in a collaborative leadership model with the Office of the Division, the other Colleges and the Mount Isa Centre for Rural and Remote Health, the College of Medicine and Dentistry contributes to advancing the strategic agenda and to strengthening partnerships and engagement.

Principal Accountabilities

  1. Coordinate student placements in clinical rotations including preparing timetables, liaising with teaching staff and external organisations involved with student placements, preparing and distributing resources, collating and distributing assessment, loading information into Learn JCU, booking rooms and organising audiovisual equipment.
  2. Maintain records in the student placement database and other records of student clinical placement activities in required formats.
  3. Act as a first point of call, providing advice to students, staff, clinicians and healthcare providers in relation to all aspects of student clinical placement administration.
  4. Liaise with academic and clinical staff to ensure delivery of the required teaching sessions, working with other administrative staff to coordinate timetables across the program and clinical training sites where necessary.
  5. Assist with the allocation of students to placements and support administrative processes at other locations for students preparing to undertake placement. 
  6. Provide assistance with clinical training operations including administrative support of staff recruitment, examinations, accommodation management, facility and equipment management, community liaison and events. 
  7. Provide administrative assistance to Academic Coordinators including organising meetings, inducting staff and acquiring and distributing teaching resources, support of the MBBS Honours program staff and provide advice to students undertaking the MBBS Honours program.
  8. Organise staff, student and visitor travel and accommodation, maintain documentation required for purchasing and travel, process payment requests related to student subsidies and tax invoices for services or goods received.

Generic Accountabilities

  1. The Clinical Training Support Officer is required to observe the lawful and reasonable directions, policies and decisions of the University Council, understand and comply with the Enterprise Agreement, the Statutes and Rules of the University, the policies and decisions of the University Council and other appropriate University authorities, as in force from time to time.
  2. The Clinical Training Support Officer is required to demonstrate a personal commitment to ensure personal safety and the safety of others and contribute to the continuous improvement of our WHS performance. This includes the effective implementation and compliance with James Cook University WHS policies, procedures and safe systems of work, together with all relevant legislation, duties and obligations. Contribute to the continuous improvement of our WHS performance. 
  3. The Clinical Training Support Officer is required to exercise proper discretion in all matters affecting the well-being of the University which involve public writing or speaking in accordance with the University’s Code of Conduct.

Special Conditions

  • It is a requirement of this position to travel within Townsville and to other College locations in North Queensland which may include overnight stays.
  • It is a requirement of this position to work after hours on occasion.
  • It is a requirement of this position to hold a current ‘C’ class Queensland Drivers licence.

Selection Criteria

Selection and appointments will be assessed against selection criteria.

Essential

  1. Degree qualification without subsequent relevant experience or completion of an Associate Diploma with at least 2 years subsequent relevant work experience or an equivalent combination of relevant experience and/or education and/or training.
  2. Demonstrated experience in, or the ability to acquire proficiency in, the administrative support of clinical placements of health professional students in public, community and private health care settings.
  3. Demonstrated well-developed written and oral communication, interpersonal and problem solving skills with the ability to communicate appropriately, effectively and confidentially with a range of stakeholders.
  4. Proven well-developed organisational and time management skills; ability to work largely unsupervised and respond to competing priorities.
  5. Demonstrated computer and technology literacy, with skills in a range of computer software e.g. Microsoft Word, Excel, PowerPoint, Adobe.
  6. Ability to meet the special conditions of the position.

Desirable

  1. Experience in the use of videoconference, teleconference and web conference communication technologies for educational purposes.
  2. Knowledge of the tertiary sector including administrative systems and procedures.
