SENIOR ADMINISTRATIVE ASSISTANTInstitute for Medical Engineering and Science (IMES), to provide comprehensive, high-level administrative support for the director and the department.  Responsibilities include composing and editing correspondence/documents; organizing communications (emails and mass mailings) with sponsors/colleagues/constituents; compiling data and designing PowerPoint presentations; coordinating grant proposals and site visits and assisting with the administration of awards; processing requests for payment and setting up new purchase orders; calendar management; scheduling and planning a variety of meetings and events on and off campus, i.e., arranging space and catering, scheduling presenters, sending invitations, A/, etc.; coordinating complex travel arrangements and processing reimbursement using Concur; organizing faculty meetings, retreats, visiting committee, holiday party, etc.; coordinating faculty development activities; assisting with the preparation of materials for faculty promotion and tenure cases; providing development support for philanthropic, IMES Industrial Group, and related activities in collaboration with the leadership giving officer; handling calls for applications for fellowships and other funding administered by IMES, collecting applications, creating spreadsheets, notifying applicants, and assisting with the award distribution; assisting with office management for headquarters; and performing other duties as assigned.  

Job Requirements

REQUIRED:  five years’ related experience; experience in an academic setting; high school diploma; ability to maintain confidentiality; excellent writing, organizational, problem-solving, communication, customer service, and interpersonal skills; tact and discretion when interacting with a diverse constituency; meticulous attention to detail and accuracy; initiative; ability to coordinate a number of projects simultaneously, meet deadlines, exercise good judgment, and work both independently with minimal supervision and as a team player; proficiency with MS Office; and ability to learn new software applications. MIT experience helpful. Bachelor’s degree preferred.  Job #17363-6
