Job Summary

The Division of Pediatric Neurology is seeking an administrative supervisor to support their faculty and staff. The ideal candidate will the ability to communicate effectively, promote positive interactions and delegate work effectively.

Responsibilities*

  • Supervise clerical staff
  • Manage and assign daily tasks/workload to admin/clerical staff
  • Partner with Administrative Manager and Nurse Manger with respect to problems/issues with technical and/or nursing staff
  • Train new staff on office procedures/tasks
  • Interview, evaluate, discipline and provide recommendation for staff salary/merit.
  • Approve time off and daily staffing schedule.
  • Respond to and evaluate patient inquiries, resolve disputes including clinic procedures policies and billing issues
  • Act as primary resource and point of contact for complicated issues or concerns for staff or providers
  • Manage division outlook calendars including Master calendar and staff calendar
  • Manage provider templates to account for calendar changes
  • Coordinate Pediatric Headache ECHO project
  • Prepare monthly productivity reports for division
  • Procure office equipment/supplies
  • Manage space/facilities for division
  • Coordinate daily clinical office huddle
  • Other duties as assigned.

Required Qualifications*

  • 5+ years of prior supervisory experience (5 or more staff) and demonstrated ability to lead a team
  • Demonstrated ability to effectively train new team members
  • Demonstrated ability to lead a project to success
  • Experience facilitating and coordinating a patient’s continuum of care, as well as, identifying and recommending appropriate resources available
  • Exceptional interpersonal skills and ability to work well within a team setting
  • Effective and professional communication
  • High School Diploma or GED
  • 5 plus years of experience in clinical/office management
  • Knowledge of medical terminology
  • Demonstrates active listening, written, verbal and information technology skills

Desired Qualifications*

  • Bachelor’s degree in a health related field, business administration or other related field
  • Experience working within a large, complex healthcare system
  • Extensive knowledge of MiChart
  • Knowledge of University policies and procedures
  • Experience working on Aspect phone system

Work Schedule

Monday - Friday 8 a.m. - 5 p.m.

Background screenings are performed in compliance with the Fair Credit Report Act.
