Population Health Management Office (Marketing, Communication & Pub Rel. Spec)

This position requires participation in occasional early morning, evening and weekend activities


The Marketing, Communication & Pub Rel. Specialist provides administrative, communications, and marketing support to the PHMO. Under the direction of the Director, Marketing Communications, this position provides administrative support to ensure the smooth and efficient operations of marketing and communications projects and also produces and assists in producing a variety of marketing and communications materials for events, websites, marketing campaigns, publications, provider engagements and multimedia projects.

Work Performed

Communications & Engagement Project Production and Management

Contribute to employee engagement by planning and implementing an internal communications program that includes: Monthly employee newsletter. Serve as editor-in-chief of monthly PHMO PULSE employee newsletter by identifying and researching relevant topics, soliciting employee-driven content, producing new content and tracking employee engagement. Organizational intranet. Proactively identify opportunities to enhance intranet content and update content and news as needed. Social media. Build and maintain a twitter, facebook and/or blog presence for PHMO and that complies with Duke Health privacy standards and improves employee engagement. Promotion of regular and special events. Support the promotion of quarterly staff meetings, teambuilding events, and other employee events. Researching and recommending other activities, modes and mediums to improve communication within the organization. Stay up-to-date on latest tools and methods for engaging employees and implement within the organization with the goals of keeping employees informed and engaged. Write, edit, review and enhance internal and external communication and engagement materials including presentations, direct mail, newsletters and handouts for various audiences (senior executives, physicians, community partners and patients) to support engagement with PHMO services Develop content for posting on various traditional and digital media outlets, including ensuring consistency across communication channels and working within Federal requirements and guidelines. Develop corporate communication materials both proactively and upon request. Identify communication gaps and opportunities and propose solutions Review materials for copy editing and adherence to corporate branding and style standards. Work collaboratively with other communications colleagues, partners and stakeholders to ensure an integrated, effective approach across all communications  Work closely with management to meet strategic objectives, project goals and deadlines. Provide concise project updates and progress reports for all assigned projects. Perform other related duties incidental to the work described herein.

Administrative Support for Communications & Engagement Initiatives

  • Assist with administrative needs for communications, provider and patient engagement projects, managing communications and marketing to increase stakeholder engagement; maintaining accurate mailing lists and provider data; handling correspondence; and researching, identifying, and preparing materials for provider and internal engagements.
  • Provide general clerical support for projects, governance meetings, events, including researching and obtaining artwork, video, and audio materials as well as appropriate releases and permissions for use; scheduling meetings; creating timelines; taking minutes, developing mailing lists and email lists; generating reports; and handling correspondence with vendors
  • Support PHMO Events
  • Assist with planning and scheduling PHMO events, including reserving space and ensuring A/V materials are ready for display
  • Take photographs as needed
